This position plays a key role in coordinating surgical procedures from authorization through pre-operative preparation, ensuring patients, providers, and surgical facilities are fully prepared for each procedure. The ideal candidate is organized, responsive, patient-focused, and able to manage multiple priorities while maintaining accuracy and clear communication. The Surgery Scheduling Coordinator is responsible for coordinating and scheduling surgical procedures based on provider, procedure, insurance, authorization, and facility requirements. This role works closely with the Surgery Authorization Department, providers, clinical staff, surgical facilities, and patients to ensure all pre-operative requirements are completed timely and accurately. Responsibilities Coordinate and schedule surgical procedures at the appropriate facility based on provider, procedure, insurance, and authorization requirements. Work closely with the Surgery Authorization Department to monitor authorization status and schedule patients promptly once approvals are received. Verify that procedures are scheduled at the correct surgical facility and identify and resolve scheduling discrepancies. Communicate with patients regarding upcoming surgeries and provide clear pre-operative instructions and expectations. Review patient pre-operative information to ensure all required steps are understood and completed prior to surgery. Coordinate required pre-operative laboratory testing, including placing orders and communicating testing requirements to patients. Monitor outstanding lab orders and follow up to ensure results are received within required timeframes. Review pre-operative lab results and ensure results are available for provider review prior to the scheduled procedure. Coordinate ordering and availability of post-operative braces, equipment, and other required surgical supplies. Maintain accurate and up-to-date surgical schedules, patient records, and documentation. Communicate effectively with providers, clinical staff, authorization staff, surgical facilities, and patients. Identify missing, incomplete, or outstanding requirements and proactively follow up to prevent surgical delays or cancellations. Assist with maintaining an efficient and organized surgical coordination process from scheduling through pre-operative readiness. Perform other duties related to surgical coordination and patient care as assigned. Requirements Previous experience in surgical scheduling, healthcare coordination, medical office administration, or a related healthcare role preferred. Experience working with insurance authorizations and/or surgical procedures preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Strong attention to detail and ability to maintain accurate records. Ability to manage multiple patients, procedures, deadlines, and priorities simultaneously. Comfortable communicating with patients, providers, clinical teams, and outside facilities. Ability to identify potential issues and take initiative to resolve them before they impact patient care or surgical schedules. Proficiency with electronic medical records and computer systems.
