•$90,000 per year This is a high-responsibility client service and financial operations role for someone who is organized, careful, resourceful, and comfortable owning work from initial request through final confirmation. Success requires more than completing individual tasks. It requires understanding the client objective, anticipating next steps, maintaining a complete record, and communicating clearly throughout the process. Our advisors operate independent practices under the Per Stirling umbrella, supported by a collaborative operations team that helps move clients and advisors through complex firm, client service, compliance, and custodial processes accurately and efficiently. Position Overview The Operations Specialist

•Tier I works directly with assigned financial advisors and serves as a key operational point of contact for their clients. The specialist translates advisor direction and client needs into accurate, timely operational execution across custodial and firm systems. The role includes new client onboarding, account maintenance, cashiering, document preparation and submission, workflow management, client communication, recordkeeping, and follow-up. This is not a basic administrative role. It requires sound judgment, strong attention to detail, consistent follow-through, and the ability to research procedures and resolve routine issues independently while recognizing when a question or escalation is appropriate. Processes change as firm policies, regulations, technology, and custodian requirements evolve, so the successful candidate must be comfortable learning continuously and adapting quickly. What Success Looks Like You take ownership of requests from beginning to end, including follow-up and confirmation that the requested action was completed. You look beyond the wording of an individual task to understand the client's overall objective and identify logical next steps. You carefully verify names, account numbers, registration types, amounts, tax withholding, dates, instructions, and supporting documents before submission. You maintain timely, complete, and understandable notes, confirmation numbers, work item numbers, and supporting records in the appropriate firm systems. You manage competing priorities without allowing routine work to remain unattended or client commitments to go uncommunicated. You research available procedures, prior examples, system records, and custodian resources before escalating a question, while asking promptly when uncertainty could create client or compliance risk. You communicate clearly and professionally with clients, advisors, teammates, custodians, and firm leadership. You receive feedback constructively, apply it consistently, and adjust as procedures evolve. Key Responsibilities Client Onboarding & Account Service Coordinate new client onboarding, account openings, transfers, rollovers, and account registrations in the proper sequence. Prepare, review, send, submit, and track firm and custodial forms, ensuring that signed and submitted documents are retained in the appropriate client record. Process client service requests such as deposits, withdrawals, journals, beneficiary and trusted contact updates, required minimum distributions, standing instructions, and account maintenance. Confirm processing status with custodians and follow through on rejected, incomplete, delayed, or not-in-good-order items until resolved. Coordinate with advisors and clients to gather missing information and clearly explain operational next steps within the limits of the role. Workflow, Documentation & Compliance Support Maintain accurate and current workflows, task notes, operations logs, client records, supporting documents, and status updates. Use the correct firm workflow or action slip and include enough context and documentation for another team member, auditor, or regulator to understand the activity later. Follow firm approval requirements, disclosure procedures, security practices, and recordkeeping standards. Protect confidential client information and immediately escalate unusual, suspicious, high-risk, or potentially fraudulent requests. Support periodic compliance reviews, operational projects, advisor transitions, and other firm initiatives as assigned. Advisor & Client Support Partner with assigned advisors to organize and prioritize client service activity across multiple books of business. Prepare reports and operational materials for client meetings and assist with post-meeting follow-up. Provide proactive, concise status updates and communicate early when a deadline, client expectation, or operational commitment may need to change. Respond to routine client questions within licensing and role limitations and route requests involving advice, recommendations, exceptions, or judgment to the appropriate advisor or firm leader. Provide backup coverage for other operations specialists and contribute to a collaborative team environment. Required Qualifications Minimum of three years of operations, advisor-assistant, client-service, or similar experience within an RIA, broker-dealer, custodian, bank, trust company, or other financial services organization. Demonstrated accuracy in handling detailed financial, account, or client information. Strong organizational and task-management skills, including the ability to prioritize time-sensitive work and manage multiple open items. Clear, professional written and verbal communication skills. Ability to investigate issues, use multiple resources, identify missing information, and determine appropriate next steps. Comfort working in several technology platforms and learning new systems and procedures. Ability to work independently while collaborating effectively and escalating appropriately. High school diploma or equivalent. Licensing & Preferred Experience Current Series 65 license is strongly preferred. If not already licensed, the successful candidate must be willing and able to obtain the Series 65 within six months of hire. Experience with Fidelity Wealthscape, Schwab Advisor Center, Wealthbox CRM, Orion, Laserfiche, Adobe or DocuSign, eMoney, Microsoft 365, or similar platforms is preferred. Experience with RIA client onboarding, cashiering, rollovers, retirement accounts, or custodial workflows is highly desirable. Additional securities licensing or a CFP designation is a plus but is not required for this Tier I role. Important Role Boundaries Operations Specialists support the implementation of advisor recommendations but do not independently make investment recommendations or provide financial advice. Tier I Operations Specialists are not expected to perform trading or financial planning analysis as part of their core responsibilities. The role must operate within firm policies, licensing limitations, and established approval processes. What We Offer Competitive salary of $60,000
