Position Overview This position performs a variety of customer service, records management, and administrative support functions for agency operations. Responsibilities include auditing operational documents, managing electronic and paper records, serving as a point of contact for visitors and callers, and providing lead-level work direction and training to lower-level clerical personnel.
Key Duties & Responsibilities Customer & Public Contact:
Answer incoming phone calls, direct inquiries, provide appropriate information, and greet/assist visitors, customers, and clients in a professional, courteous manner.
Document Auditing & Error Correction:
Analyze and audit invoices, bills, orders, forms, reports, and related documents for accuracy; initiate corrective action when errors are found.
Records & Data Management:
Maintain and update electronic and paper business records, collect and compile information, and operate computer systems and software applications to manage data and generate agency reports.
Document Preparation:
Prepare and format correspondence, forms, labels, and administrative reports.
Work Direction & Training:
Plan, organize, assign, and review the work of lower-level clerical employees, and train new staff in proper work methods and procedures.
Communications & Office Workflow:
Use email, instant messaging, and internal platforms to coordinate information flow and respond promptly to requests.
Mail & Supply Operations:
Coordinate the receipt and distribution of mail, and oversee inventory and allocation of office supplies.
Office Technology:
Operate and maintain modern office technology (multifunction printers, scanners, digital calculators) and troubleshoot common technical issues to ensure uninterrupted workflow.
Operations Reporting:
Maintain accurate records of transactions, attendance, and operational data, generating supporting reports as required. This position will work 30+ hours per week.
Minimum Qualifications Education:
Graduation from a standard high school or the equivalent.
AND Experience:
Two (2) years of full-time or equivalent part-time paid experience performing routine office work or customer-facing roles.
Substitution:
College hours, related business school, or vocational training may be substituted through an established formula for the required experience. #
INDLP Pay:
$29,070.00 - $49,360.00 per year
