Owners / Executive Management Position Overview We are a fast-growing wholesale distribution company seeking an experienced, highly organized, and hands-on HR Manager & Office Administrator to manage human resources, employee administration, office operations, and executive support. This is not a desk-only HR position. The ideal candidate will be comfortable working directly with warehouse employees, office staff, customer service, sales teams, drivers, and management. We are looking for someone who is proactive, firm, organized, dependable, and able to take ownership of employee-related matters without requiring constant follow-up from ownership. The right candidate will help us build stronger systems, improve accountability, maintain proper documentation, and keep day-to-day operations organized as the company continues to grow. Human Resources & Employee Management Manage the complete employee lifecycle, including recruiting, interviewing, hiring, onboarding, orientation, performance management, disciplinary action, and termination. Recruit for warehouse, receiving, picking/packing, delivery, customer service, sales support, housekeeping, and administrative positions. Maintain complete and accurate employee personnel files and HR documentation. Manage new-hire documentation including I-9s, W-4s, direct deposit information, company policies, acknowledgments, and employee handbook requirements. Manage HR and payroll systems such as Gusto, ADP, or similar platforms . Review employee timecards, attendance, lateness, absences, overtime, PTO, and scheduling issues. Ensure payroll-related employee changes are submitted accurately and on time. Track staffing levels and identify hiring needs before they become operational problems. Conduct employee evaluations and coordinate performance reviews with department managers. Prepare and maintain written warnings, disciplinary records, performance improvement plans, and termination documentation. Handle employee complaints and workplace conflicts professionally and confidentially. Work with supervisors to improve employee attendance, productivity, accountability, and workplace conduct. Assist with background checks, employment verification, and reference checks. Maintain compliance with applicable federal, Pennsylvania, and local employment requirements. Coordinate workers' compensation, unemployment claims, and other employee-related documentation when necessary. Warehouse & Distribution Support Maintain daily communication with warehouse and department supervisors regarding staffing and employee issues. Track call-outs, no-shows, schedule changes, and staffing shortages. Help ensure adequate staffing for receiving, order preparation, picking, packing, shipping, and deliveries. Assist management in developing clear job descriptions and responsibilities for each department. Help implement employee accountability and performance-tracking procedures. Coordinate communication between warehouse, sales, customer service, accounting, and management . Help management identify workflow or personnel problems affecting warehouse productivity. Assist with employee training documentation and company SOP implementation. Ensure employees follow company attendance, conduct, safety, confidentiality, and workplace policies. Help maintain an organized and professional workplace environment. Office Administration Oversee day-to-day office administration and ensure important tasks are completed on time. Maintain company calendars, appointments, meetings, deadlines, renewals, and important follow-ups. Prepare professional emails, letters, notices, reports, spreadsheets, memos, and internal communications. Organize digital and physical company records. Maintain vendor, employee, insurance, licensing, compliance, and business documentation. Assist with vendor communication, invoices, contracts, certificates, and administrative paperwork. Track important company renewals, registrations, insurance documents, permits, and compliance deadlines. Handle incoming calls, emails, and business communications professionally. Follow up with employees, vendors, managers, and outside professionals when information or documentation is outstanding. Create and maintain organized filing and recordkeeping systems.
Executive / Owner
Support Work directly with ownership on daily administrative and operational priorities. Maintain follow-up lists and ensure assigned items do not get forgotten or delayed. Assist with scheduling meetings, appointments, interviews, and business-related follow-ups. Prepare and organize documents requested by accountants, CPAs, attorneys, banks, insurance companies, and regulatory agencies. Maintain strict confidentiality regarding employee, financial, legal, and business information. Provide ownership with regular updates regarding: Attendance problems Staffing shortages Employee performance Disciplinary issues Hiring progress Payroll or timekeeping issues Outstanding administrative matters Follow through with managers and employees until assigned matters are completed. Help ownership develop and implement SOPs, checklists, accountability systems, and internal processes . Identify administrative or HR problems before they become larger operational issues. What We Are Looking For We are looking for someone who does more than wait for instructions. The successful candidate should be someone who: Takes ownership of responsibilities. Follows up aggressively on incomplete tasks. Is comfortable holding employees accountable. Can communicate professionally with both hourly employees and senior management. Can manage multiple priorities without losing track of details. Understands the importance of documentation. Can solve routine problems independently. Knows when an issue needs to be escalated to ownership. Is comfortable working in a fast-paced and growing distribution environment. Can create structure where processes may still be developing. Qualifications 3+ years of HR, office management, or employee-management experience preferred. Experience supporting 30+ employees required; experience with 50+ employees strongly preferred. Previous warehouse, wholesale, distribution, logistics, retail, or similar fast-paced operational experience strongly preferred. Experience with employee recruiting, onboarding, discipline, attendance management, and termination procedures. Working knowledge of payroll and HR administration. Experience with Gusto, ADP, or similar HR/payroll software preferred. Strong Microsoft Excel / Google Sheets, Word / Google Docs, email, and general computer skills. Excellent written and verbal communication skills. Strong organizational and follow-up skills. Ability to handle confidential information with discretion. Ability to work independently and make sound day-to-day decisions. Must be dependable, punctual, professional, and detail-oriented. Must be comfortable working Monday through Saturday in an in-person environment. Legal authorization to work in the United States required.
