Purpose Lead the team responsible for maintaining the integrity of the owner database as it changes due to deed in lieu, foreclosure, transfer and resort unwind activity. The Supervisor oversees day-to-day production across all inventory recovery channels, ensures deeds and title actions are executed accurately and recorded timely, and serves as the primary point of coordination with title agencies and internal management. Principal Duties and Responsibilities Team Oversight
Supervise the daily activity of the inventory recovery team, assigning workload and setting production priorities across deed in lieu, foreclosure, and unwind pipelines.
Train new and existing team members on processes, systems, and documentation standards; provide ongoing coaching and performance feedback.
Review team output for accuracy and completeness prior to recording or database update; serve as the escalation point for complex accounts and owner disputes.
Report department production, pipeline status, and inventory results to management on a recurring basis. Deed in Lieu
Direct all efforts to contact delinquent owners via email, phone, or other means necessary to explain the deed in lieu process and its benefit to the owner.
Execute, monitor, and track deed in lieu campaigns, including campaign design, targeting, and results reporting.
Oversee the drafting and mailing of deed in lieu paperwork to owners for signature; monitor return and execution rates and resolve exceptions escalated by the team.
Ensure the team records deeds in the applicable county and updates the database and supporting spreadsheets accordingly; spot-check recorded activity for accuracy.
Manage special one-off relinquishment projects for delinquent Capital owners and HOA Board assignments. Foreclosure
Oversee resort foreclosure activity from file referral through final recording of the foreclosure deed, monitoring each matter against required timelines and statutory milestones.
Coordinate with title agencies to review and confirm updates regarding pending foreclosures.
Validate delinquency, ownership, and lien data prior to referral and confirm accounts are properly staged for foreclosure.
Track foreclosure costs and vendor invoicing.
Confirm foreclosed intervals are released from contract and returned to available inventory upon completion. Resort Unwinds
Manage resort unwind projects end to end, including status reporting, document review, inventory reconciliation, and coordination of the transfer or release of affected intervals.
Partner with legal, HOA boards, resort operations, and internal management to establish unwind scope, timeline, and required deliverables.
Ensure owner communications related to unwind activity are accurate, timely, and consistent with approved messaging. Records, Reporting, and Compliance
Report status of inventory across all recovery channels and reconcile the owner database against recorded activity.
Conduct and review internal and external title searches.
Set up and maintain account files in an organized manner, including scanning and filing.
Communicate with owners via email, phone, and mail.
Release inventory from contracts and confirm accurate downstream system updates.
Maintain and document department procedures; recommend and implement process improvements that reduce cycle time and cost per recovered interval.
