Position Summary
The Transportation Coordinator coordinates outbound furniture shipments, schedules transportation activity, prepares shipping documentation, supports drivers and carriers, and maintains accurate transportation and billing records. This role connects shipping, transportation, customer service, carriers, and operations to support timely deliveries and accurate data.
The ideal candidate is organized, detail-oriented, adaptable, and service-focused.
Essential Duties and Responsibilities
Trip Scheduling & Dispatch Support Schedule outbound trips, assign trailers/equipment, and release loads to shipping.
Monitor shipments, reschedule missed departures, and communicate delays to carriers and stakeholders.
Shipment Processing & Documentation Generate invoices, trip packets, trip sheets, BOLs, and shipping paperwork.
Verify piece counts, scan/file documents, and maintain accurate shipment records.
Billing & Freight Administration Invoice completed and collect shipments; review freight charges for accuracy.
Enter freight costs and prepare third-party carrier documentation, including shipment details and contacts.
Transportation Systems Management Maintain accurate data in Syteline, Mainframe, Samsara, and related systems.
Update acknowledgment numbers, shipment status, and transportation records.
Driver & Carrier Support Serve as a contact for driver, carrier, and delivery issues; coordinate solutions with management and internal teams.
Customer Service & Communication
Communicate professionally with drivers, carriers, customers, and internal departments; provide timely shipment updates and maintain positive relationships.
Required Skills and Abilities
Strong computer skills and ability to learn transportation software systems.
Proficiency in Google Docs, Microsoft Excel, Outlook, and other office software.
Excellent organizational and time management skills.
Strong attention to detail and data accuracy.
Effective verbal and written communication skills.
Ability to work in a fast-paced environment and manage changing priorities.
Strong customer service mindset.
Professional phone and email communication.
Preferred Qualifications
Experience in transportation, logistics, dispatching, shipping, or supply chain operations.
Experience using Samsara, Syteline, or similar logistics software.
Knowledge of freight billing and transportation documentation.
