Job Description

Fleet Administrator Overview:
Cadence Petroleum Group is a local, fast-growing automotive, commercial, and industrial oil distributor. Cadence Petroleum is currently recruiting a Fleet Administrator for our Asheboro, North Carolina facility. The Fleet Administrator supports the daily operations of the fleet department by coordinating maintenance activities, ensuring compliance, maintaining accurate fleet records, and providing administrative support to fleet operations. This role serves as a central point of contact between operations, vendors, and internal departments to maximize fleet uptime and data accuracy.
Primary Responsibilities:
Coordinate preventive maintenance schedules and track vehicle downtime. Follow up with repair vendors on out-of-service equipment to obtain repair status and estimated completion dates. Enter and maintain repair, invoice, and asset data in Fleetio. Manage fleet telematics, including device monitoring, troubleshooting, and reporting. Coordinate meter calibration scheduling and maintain compliance records. Process and review maintenance invoices for accuracy. Maintain vehicle registrations, titles, permits, inspections, and other compliance documentation. Monitor fleet performance, identify recurring maintenance issues, and assist with corrective action tracking. Prepare fleet reports and support vendor performance monitoring. Assist with onboarding newly acquired fleet assets into fleet management systems. Provide administrative support to fleet managers and field operations while ensuring accurate fleet records and efficient day-to-day operations.
Qualifications:
Strong organizational and communication skills. Experience with Fleetio or similar fleet management software preferred. Proficiency in Microsoft Excel and Microsoft Office. Ability to manage multiple priorities in a fast-paced environment. Experience in fleet maintenance, transportation, logistics, or heavy equipment administration preferred. Strong attention to detail and problem-solving skills.
