Job Description

Position:

Summary/Objective To provide agents with the necessary supplies and powers needed to execute bonds by performing the following: Replacing approximately 15,000 powers monthly to our agents in a timely manner. Lifting (10-20) pound packages to restock the supply room, and/or deliver a package to the mail bin. Review the agency status and agency warning to ensure powers are accurately replaced. Answer incoming calls, fill supply order requests, scan, and link documents in the Image now system and follow up on unsigned receipt of powers. Correspond with FedEx when deliveries are missing and/or delayed in shipment. Essential Functions 50% Agent Power Replacement Check the agent's status and the system warnings prior to sending replacement powers to determine if there are any exceptions. Accurately manage the agent's inventory to verify the number of powers to replenish, per denomination. Advance and overnight powers as instructed by management. Process and send out initial inventories for new agents. Maintain the incoming receipt of powers through (Fax/portal) to ensure the agent received the delivered powers. 30% Supply Management Fill supply orders upon receipt of request. Process and send out initial supplies and startup folders for new agents. Organize and maintain the powers and supplies stored within the BSS storage room. Monitor and maintain the inventory of documents generated in house as well as those provided by vendors. 10%- Clerical/Special Projects Archive documents in the Image now system.
Link the following imaged documents:
execution reports, discharges, and misc. agency information. Compare FedEx next day/two-day mailing fees to mitigate cost for FedEx mail outs. 10% Customer Service Provide customer service regarding replacement powers, supply orders and FedEx tracking numbers on next day packages. Run powers to replenish report weekly, and follow-up on unsigned receipt of powers. Gather supporting documentation for research on missing and expired powers. Supervisory Responsibility Not Applicable Work Environment This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands The physical demands that must be met by an employee to successfully perform the functions of this job.
Stand or Sit:
Must be able to remain in a stationary position 50% of the time.
Walk:
Occasionally move about inside the office to access file cabinets, office machinery, etc. Use hands/fingers to handle or feel: Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
Talk/Hear:
Frequently communicates with Agents who have inquiries about their agency or services. Must be able to exchange accurate information in these situations.
Vision/See:
Must be able to inspect documents/spreadsheets for accuracy. Carry weight/
Lift:
Occasionally moves or lifts up to 20 pounds. Position Type/Expected Hours of Work This position is a full-time 40 hours per week position working five days a week Monday through Friday. The hours are 8:00am to 5:00 pm. Must be flexible with work schedule to meet business needs. Travel Travel is not expected for this position. Required Education and Experience This position requires a high school diploma/GED Preferred Education and Experience Oral and written communication skills, 1-2 years of Office and computer skills, Customer service related experience. Proficient with Alpha and 10 key processing. Possesses the ability to plan effectively, stay organized, and handle multiple priorities while working independently.
