The Warehouse Lead Administrator is responsible for providing training support for the team and coaches the team in daily warehouse activities. Will provide escalation and support coverage for the Warehouse Supervisor and offer backup support to Warehouse Operations for additional projects. This includes but may not be limited to managing inventory, processing orders, maintaining records, and ensuring the smooth operation of all warehouse functions. The role requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Essential Job Duties and Responsibilities:
Provide day-to-day training, coaching, and guidance to warehouse team members to support productivity, quality, and adherence to established processes. Serve as the primary point of contact during supervisor absences, assisting with issue resolution, workflow coordination, and escalation of operational concerns as needed. Support warehouse leadership with special projects, process improvements, and operational initiatives aimed at enhancing safety, efficiency, and service performance. Maintain warehouse documentation and records, including receipts, packing slips, shipping labels, bills of lading, delivery notes, and shipping/receiving documentation. Process and verify shipping and receiving transactions to ensure accuracy and completeness of all records. Perform data entry and maintain accurate information within warehouse management systems, inventory databases, and related tracking tools. Manage inventory data and support inventory accuracy by updating stock records, tracking inventory movements, and investigating discrepancies. Process orders and provide administrative support for picking, packing, shipping, and fulfillment activities. Coordinate inbound and outbound logistics activities, including scheduling deliveries, pickups, and carrier appointments. Communicate with vendors, carriers, warehouse staff, and internal departments to facilitate smooth operational workflows. Monitor shipment status and provide updates regarding deliveries, inventory availability, and operational concerns. Conduct routine audits of warehouse records and documentation to ensure compliance with company procedures and quality standards. Support quality control efforts by identifying, documenting, and reporting inventory, shipping, or receiving discrepancies. Assist with scheduling and workflow coordination to support daily warehouse operations and staffing needs. Generate reports and maintain records related to inventory, shipments, receiving activities, and operational performance. Support organization and administrative oversight of warehouse operations to ensure efficient and accurate execution of warehouse processes. Maintain confidentiality and accuracy of business records and operational data. Follow all company safety policies, procedures, and warehouse operational standards. Minimum Qualifications (Experience, Skills, and Education): High school diploma or GED required. Previous administrative, shipping / receiving, warehouse, or inventory control experience preferred. Proficient with Microsoft Office applications and basic data entry functions. Strong attention to detail, organizational skills, and ability to maintain accurate records. Effective verbal and written communication skills with the ability to work across multiple departments.
Physical Requirements and Working Conditions:
Performing General Physical Activities - Performing physical activities that require considerable use of your arms and legs and moving your whole body, such as climbing, lifting, balancing, walking, stooping, and handling of materials up to 50 pounds. May require prolonged periods of sitting or standing, moving over uneven or slick surfaces, and maneuvering around equipment and/or materials in a warehouse environment.
