Job Description

Roaring Fork Property Group manages high-end and luxury second homes across the Roaring Fork Valley. Our clients are owners who are away most of the year and expect their home to be perfect the day they walk in. Delivering that takes constant, precise coordination between three groups: the homeowner, our field teams, and a bench of trade partners and vendors. That coordination is this job. The Client Services Manager is the single point of contact who keeps the wheels moving. fielding owner requests, dispatching and confirming vendor work, keeping our housekeeping and maintenance crews informed, and closing the loop with the client before they have to ask. When something goes wrong at a property, you are the person who gets the right people there and keeps the owner calm and informed while it gets fixed. This is a communication and follow-through role, not a desk role. You will be in properties, on the phone, and in front of clients. What you'll do Own day-to-day communication with a portfolio of homeowners: requests, arrival prep, project updates, and issue resolution Schedule and dispatch vendors and trade partners; confirm scope, timing, and access, then verify the work was completed to standard Serve as the relay between clients and our field teams: housekeeping, maintenance, and project crews, so nothing gets lost between them Handle escalations and incidents: coordinate the response, communicate proactively with the owner, and document what happened Prepare homes for owner and guest arrivals; walk properties and catch problems before the client does Track requests, work orders, and vendor commitments in our systems so status is always visible without someone having to chase it Build and maintain vendor relationships: know who is reliable, what they charge, and how fast they respond Flag recurring problems, service gaps, and revenue opportunities to ownership What we're looking for Required 3+ years in luxury property management, resort or hotel operations, high-end vacation rental management, estate management, or a comparable high-touch service role Demonstrated experience as the point of contact for demanding, high-expectation clients Experience coordinating vendors, contractors, or trade partners — scheduling, following up, and holding them to a standard Exceptional written and verbal communication; you write clear, professional, unhurried messages under pressure Strong organizational discipline: you track your own commitments and don't need to be reminded Comfortable with property management software, scheduling tools, and standard business software Valid driver's license, reliable vehicle, and willingness to drive throughout the valley Able to carry a rotating after-hours phone for urgent property issues Preferred Familiarity with the Roaring Fork Valley and its vendor and trade community Working knowledge of home systems — HVAC, plumbing, irrigation, snowmelt, smart home and security systems Experience with second-home or absentee-owner portfolios How we think about fit The best person in this seat is unusually calm, follows through without being asked twice, and treats a client's home like it matters. Discretion is non-negotiable, as you will have access to private homes and private lives.
