As a Client Service Associate at Planning Alliance, you serve as a key member of the firm's client service team, primarily responsible for delivering exceptional client service and overseeing ongoing policy administration. This individual acts as the point of contact for policyowners, trustees, advisors, insurance carriers, and other professional partners to ensure policy service requests, premium administration, documentation, and client needs are handled accurately and efficiently. The role is focused on maintaining long-term client relationships and supporting the day-to-day administration of insurance policies throughout their lifecycle. Success in this position requires exceptional organization, proactive follow-up, strong communication skills, attention to detail, and the ability to manage multiple service requests while delivering a high-touch client experience. What you'll be doing: Client Service & Relationship Management Serve as the day-to-day contact for clients regarding life insurance policies and service needs. Respond to client inquiries and provide timely updates on pending cases and service requests. Deliver a high-touch client experience throughout the life cycle of each insurance policy. Proactively follow up on outstanding documentation, signatures, payments, underwriting requirements, and carrier requests. Insurance Operations & Policy Administration Prepare, review, and process carrier service paperwork Coordinate electronic signature processes and document execution. Ensure required forms, illustrations, and supporting documents are obtained prior to submission. Submit completed requests to carriers and monitor through completion. Verify carrier processing and confirm request completion. Coordinate policy servicing requests between clients, carriers, advisors, and outside professionals. Maintain records of all policy service transactions in Egynte. Carrier & Vendor Relationship Management Coordinate with brokerage general agencies and carrier representatives. Obtain clarification on policy administration matters, underwriting issues, premium notices, online access concerns, and carrier requirements. Monitor carrier service tickets through resolution. Premium & Billing Administration Monitor premium notices and billing requirements. Track premium due dates and policy funding deadlines. Coordinate premium payments and funding logistics. Send payment reminders to clients and trustees. Confirm receipt and application of premium payments with carriers. Assist with premium financing communication and documentation when applicable. Monitor policies for potential lapse risks or missed payments. Policy Review & Advisor/Manager Support Assist advisors with gathering policy information, illustrations, in-force ledgers, life insurance schedules, carrier confirmations, and administrative data. Coordinate requests for policy projections, servicing illustrations, and policy reviews. Research and resolve policy discrepancies with carriers. Prepare insurance information for review meetings and client presentations. Support implementation of advisor recommendations and client action items.



Licensing, Compliance & Regulatory Administration Monitor insurance licensing status for advisors. Ensure resident and non-resident insurance licenses remain active and in good standing. Track continuing education (CE) requirements and renewal deadlines. Process license renewals and maintain licensing records. Monitor carrier appointments and appointment renewal requirements. Ensure advisors remain eligible to conduct insurance business in all required jurisdictions. New Business & Client Onboarding (Support) Coordinate life insurance applications from initial submission through policy placement. Collect and organize financial, medical, trust, business, and ownership documentation required for underwriting. Coordinate required forms, questionnaires, disclosures, and supplemental information. Maintain accurate records within CRM and internal case management systems.



Underwriting Coordination & Case Management (Support) Serve as liaison between clients, brokerage partners, carriers, underwriters, and advisors throughout the underwriting process. Order and track underwriting requirements including APS records, Medical exams, and Supplemental requirements. Coordinate informal and formal underwriting submissions. Assist advisors/managers in reviewing underwriting offers and policy placement opportunities. Preferred Skills & Experience 2+ years of experience in life insurance operations, underwriting, new business, policy service,wealth management support, or financial services administration. Strong understanding of life insurance underwriting and policy administration processes. Experience working directly with insurance carriers, underwriters, and brokerage partners. Strong written and verbal communication skills.



Exceptional organizational and follow-up abilities. Ability to manage multiple complex cases simultaneously. Experience with CRM systems, carrier portals, e-signature platforms, and document management systems. Ability to communicate professionally with high-net-worth clients, attorneys, trustees, CPAs, and financial institutions. Detail-oriented with strong project management and problem-solving skills.
