Coordinator, Facilities Customer Service

Job Description

Supports Facilities Services communications, employee onboarding, recruitment, and customer service initiatives. Develops and manages website content, newsletters, project updates, and marketing materials while ensuring consistent branding and messaging. Coordinates onboarding programs, employee engagement activities, and training resources for new and current staff. Assists with recruitment outreach, community partnerships, and promotional efforts. Provides administrative and operational support by managing Facilities data systems, responding to customer inquiries, coordinating communications, and supporting departmental projects and events. Performs related duties as assigned. Essential Duties and Responsibilities Communications and Marketing (55%) Create and distribute newsletters, articles, project updates, and employee communications. Develop, maintain, and standardize Facilities Services website content and other digital communications. Develop multimedia content, including photography, video, graphics, and digital marketing materials. Serve as a liaison between Facilities Services and Institutional Marketing to ensure branding and messaging consistency. Coordinate the distribution of college-wide notifications and information related to Facilities Services projects, services, and initiatives. Support marketing and outreach efforts through digital communications, social media, website content, and promotional materials. Employee Onboarding and Engagement (20%) Coordinate hiring and onboarding activities for new Facilities Services employees in partnership with PWC, HR, Payroll, OIT, and departmental supervisors. Facilitate onboarding orientations, training, and resource delivery using a variety of formats and platforms. Serve as a primary point of contact for new employees during their onboarding experience and first year of employment. Assist departments in implementing onboarding best practices and ensuring compliance with institutional policies and procedures. Support Facilities departments in coordinating employee training and professional development opportunities. Customer Service and Operational Support (20%) Assist customers with work order requests and Facilities-related inquiries. Enter, update, and maintain data, images, and records within CMMS and other Facilities software applications. Monitor assigned tasks and ensure compliance with College and departmental policies, procedures, and service standards. Participate in event planning and departmental projects as needed. Perform other job-related duties as assigned. Other Duties (5%) Act as backup support for Facilities administration as needed. Perform other duties as assigned. Knowledge, Skills, and Abilities Knowledge of onboarding, employee engagement, and customer service principles. Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams. Experience with Adobe Creative Suite, digital content development, website management, and web technologies. Knowledge of CMMS database platforms. Strong written, verbal, interpersonal, proofreading, and editing skills, with excellent attention to detail. Ability to create engaging written content and develop training and informational materials for diverse audiences. Ability to develop, implement, and maintain social media strategies that support organizational goals and audience engagement. Strong analytical, research, critical-thinking, problem-solving, and troubleshooting skills, with the ability to identify solutions and improve processes. Ability to independently organize, prioritize, and manage multiple assignments and deadlines. Ability to maintain confidentiality and exercise discretion when handling sensitive information. Ability to build collaborative relationships, gain cooperation, and build consensus across departments and organizational levels without direct authority. Ability to work independently and as part of a collaborative, multidisciplinary team. Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College. Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities. Strong customer service orientation, commitment to continuous improvement, and ability to learn new software, systems, processes, and procedures. Bachelor's degree in Communications, Marketing, Business Administration, Human Resources, Graphic Design, Public Relations, or a related field. One (1) - Four (4) years of related professional experience in communications, marketing, employee engagement, customer service, administrative operations, or a related area. Valid Utah Driver's License. Trade off 1:1 full-time experience/education requirement. Part-time experience can be considered on a prorated basis (Trade off 2:1). Education and relevant experience may be substituted when the minimum qualification does not require a specific degree, license, certification, accreditation standard, or other requirement for which substitution would be inappropriate. Experience developing newsletter content for higher education settings. Experience supporting employee development, or human resource initiatives. Experience managing website content and digital communications. Experience with Adobe Creative Suite, including Photoshop, Illustrator, and Premiere Pro. Experience using CMMS work order management systems. Experience working in higher education or facilities operations.
