Electronics Recycling / E-Scrap About Us Ohata Shoji America Inc. is an electronics recycling and e-scrap company based in Seattle, Washington. Our parent company has nearly 30 years of industry experience in Japan, We also have a branch in Vancouver Canada. Our Seattle operation is focused on expanding our business throughout the North America market. We are looking for a reliable, organized, and detail-oriented Customer Service & Bookkeeping Coordinator to support our daily customer service, bookkeeping, receiving, payment processing, and general office operations. This position is ideal for someone who enjoys working in a small business environment and is comfortable handling a variety of responsibilities. Key Responsibilities Customer Service Answer incoming phone calls and respond to customer inquiries in a professional and friendly manner. Monitor and respond to customer emails regarding pricing, materials, deliveries, pickups, and other general inquiries. Greet customers, suppliers, vendors, and visitors. Communicate basic purchasing prices, procedures, and company services to customers. Maintain accurate customer and supplier information and communication records. Bookkeeping & Payment Processing Record daily business transactions and maintain accurate bookkeeping records. Enter purchases, sales, expenses, payments, and other transactions into the company's accounting system. Maintain and organize invoices, receipts, purchase records, and payment documentation. Handle cash payments to customers and suppliers according to company procedures. Maintain accurate records of cash received and cash paid out. Reconcile cash transactions and maintain supporting documentation. Receiving & Transaction Processing Receive customers and suppliers bringing electronic materials to the facility. Assist with receiving, weighing, and documenting incoming materials. Verify basic information including material type, quantity, weight, and purchase price. Enter receiving and purchasing information into the company's inventory or business management system. Prepare purchase receipts and other transaction documents. Coordinate with warehouse staff when inspection, classification, unloading, or additional verification is required. Ensure receiving and payment records match before completing transactions. Office Administration Manage day-to-day office operations and help maintain an organized and professional workplace. Purchase, store, track, and distribute office supplies and employee supplies. Monitor office supply inventory and reorder items when necessary. Maintain company files, records, forms, and general office documentation. Receive and organize mail, packages, invoices, and other business documents. Assist with printing, scanning, filing, data entry, and document preparation. Qualifications Strong customer service and communication skills. Comfortable communicating with customers by phone, email, and in person. Strong attention to detail and accuracy, especially when handling payments and financial records. Basic bookkeeping or accounting knowledge. Comfortable handling cash and maintaining accurate transaction records. Proficiency with computers, email, Microsoft Office, and Excel. Ability to learn and use accounting, inventory, and business management software. Strong organizational and time-management skills. Legally authorized to work in the United States. Preferred Qualifications Previous experience in bookkeeping, accounting support, customer service, office administration, or similar roles . Experience with QuickBooks or other accounting software is strongly preferred. Experience in recycling, electronics, logistics, warehouse operations, or similar industries is a plus. Japanese or Chinese language skills are a plus. Experience working in a multilingual or international business environment is a plus. Work Schedule Full-time, 5 days per week. Our facility is closed every Wednesday. Saturday and Sunday are required working days. Employees will have Wednesday off plus one additional day off on Monday, Tuesday, Thursday, or Friday, based on scheduling and business needs. Work Environment This position is primarily office-based but requires regular interaction with customers and warehouse staff in an active warehouse environment.
