This position serves as a primary point of contact for customers and is responsible for coordinating appointments, answering customer calls and emails, providing shipment updates, and helping resolve transportation-related issues. This position requires excellent communication skills, strong attention to detail, and the ability to coordinate effectively with customers, drivers, dispatchers, and internal operations personnel. The Customer Service Representative will play an important role in ensuring that containers are picked up and delivered on schedule while providing customers with accurate, timely, and professional service. Essential Duties and ResponsibilitiesCustomer Service Answer incoming customer phone calls and respond to customer emails in a professional, courteous, and timely manner. Serve as a primary point of contact for customers regarding shipment status, appointments, delays, pickups, deliveries, and other transportation questions. Communicate service delays, changes, and potential problems to customers before they become larger issues. Follow up with customers regarding open issues, rescheduled appointments, late deliveries, or other outstanding requests. Maintain positive relationships with customers through consistent communication and dependable service. Appointment Scheduling Schedule pickup and delivery appointments with warehouses, ports, and other customer facilities. Coordinate appointment times with dispatchers and drivers to ensure that scheduled moves can be completed efficiently. Confirm appointment requirements, operating hours, reference numbers, container information, and facility-specific instructions. Monitor appointment availability and make changes when shipment schedules change. Reschedule appointments when containers are delayed, unavailable, rolled by the railroad, or otherwise unable to meet the original appointment. Maintain accurate records of all appointments and appointment changes. Communicate appointment confirmations and changes to drivers, dispatch, customers, and other affected parties. Identify scheduling conflicts and work proactively to find alternative appointment times. Help minimize missed appointments, detention, storage, demurrage, and other avoidable transportation costs. Shipment Tracking and Operations Support Track intermodal shipments from pickup through delivery and empty-container return. Monitor container availability and coordinate with terminals, ports, depots, and customer facilities as necessary. Enter and update shipment information in the company's Transportation Management System (TMS) or other operating systems. Verify that customer orders contain accurate pickup numbers, delivery information, container numbers, appointment times, special instructions, and other required information. Communicate changes in shipment status to the appropriate members of the operations team. Assist dispatchers and operations personnel with customer-specific requirements and service requests. Monitor loads for potential delays and proactively communicate exceptions. Obtain and document proof of delivery and other required shipment documentation when applicable. Problem Resolution Investigate and resolve customer issues involving late pickups, missed appointments, delivery delays, container availability, driver delays, incorrect information, and other service exceptions. Coordinate with drivers and dispatchers to determine the status and location of shipments. Communicate with terminals, railroads, warehouses, ports, and other facilities when information or action is required. Escalate issues to management or the appropriate department when they cannot be resolved within established procedures. Maintain accurate notes regarding customer calls, service issues, appointment changes, and resolutions. Follow up on unresolved issues until the customer has received an appropriate response. Documentation and Data Entry Accurately enter customer orders, appointments, shipment updates, and other information into the company's TMS and related systems. Maintain organized electronic records of customer communications and transportation activity. Verify information for accuracy before communicating it to customers or drivers. Assist with billing-related questions by providing shipment information and documentation to the appropriate department. Document accessorial or other customer-approved charges when required by company procedures. Ensure that important customer instructions and special requirements are clearly documented for dispatch and drivers. Typical Daily Activities A typical day may include: Answering a high volume of customer phone calls and emails. Scheduling pickup and delivery appointments. Checking container availability and shipment status. Communicating with drivers and dispatchers regarding appointment times and changes. Updating loads in the TMS. Notifying customers of delays or schedule changes. Rescheduling appointments when circumstances change. Following up on late or missed deliveries. Researching customer questions and resolving service issues. Assisting the operations team with time-sensitive requests. Required Qualifications High school diploma or equivalent. Previous customer service, transportation, logistics, dispatch, or administrative experience preferred. Excellent verbal and written communication skills. Professional and courteous telephone manner. Strong computer skills and ability to learn transportation software and web-based systems. Strong attention to detail and accuracy. Ability to prioritize multiple tasks and manage competing deadlines. Ability to remain calm and professional when dealing with upset customers or time-sensitive problems. Strong organizational and follow-up skills. Ability to work independently while also functioning effectively as part of a team. Reliable attendance and punctuality. Ability to work in a fast-paced environment where schedules and priorities can change quickly.
