Our CSR's provide our clients with an excellent experience at all times through professional and responsible client care and communication. CSR's perform clerical duties related to veterinary care and treatment, process invoices and payments, handle incoming and outgoing phone calls, provide support to the veterinary team and are actively involved in the ongoing education of pet owners. Responsibilities and Duties 1. Maintain a professional, cheerful, and helpful attitude at all times when interacting with clients and other team members. 2. Answer incoming telephone calls on a multi-line phone system using proper telephone etiquette as defined by the company's standard's manual. 3. Answer basic medical question, and direct calls or questions to other team members as necessary. 4. Handle incoming requests for appointments through phone calls, online requests and email requests. Ensure the appointment schedule utilizes the full service capacity of the veterinary team. 5. Contact clients to confirm appointments, providing clients with appropriate information or instructions. 6. Welcome clients and patients to the hospital, checking in patients, collecting initial medical history, and providing for client and patient comfort while in the reception area. Appropriately handle the length and quality of wait time. 7. Use veterinary management software to schedule appointments according to hospital guidelines. 8. Use computer system to enter and retrieve records and reports, enter fees and charges, enter communication received, and maintain the database. Generate reports for call backs, and other reports using the computer system. 9. Educate and remind clients regarding general preventative guidelines as defined by the hospital's standards of care. 10. Explain and demonstrate nutritional and general over the counter products recommended by the veterinary team. 11. Maintain an adequate supply of recommended nutritional and general over the counter products as recommended by the owners. 12. Prepare client records in advance of clients' arrival. 13. Accurately process and reconcile payments according to the hospital's protocols. 14. Assist other team members in keeping public areas clean, and odor-free. Qualifications and Skills Knowledge of general office practices and procedures, ability to use a multiple line telephone system, able to handle all forms of payment, able to communicate clearly and concisely verbally and in writing veterinary terminology, services, and protocol in a professional manner, able to easily build rapport with all clientele, possess intermediate computer skills including accurate and efficient data entry skills, and ability to quickly learn veterinary scheduling software.
