Job Description

Wedding Assistant Wolf Cove Inn | Poland, Maine $20-$25/hour, depending on experience Part-Time | Year-Round | Approximately 10-30 Hours Per Week Wolf Cove Inn is looking for a warm, highly organized, dependable Wedding Assistant to join our team and help us create exceptional wedding experiences for our couples and their guests. This is a part-time, year-round position that offers the opportunity to become increasingly involved in our wedding program. During our quieter season, the position will generally average approximately 10-15 hours per week , with hours increasing during peak wedding season to as many as 30 hours per week . For the right person, there is also meaningful opportunity to grow into additional responsibilities within the role over time. We are looking for someone who is extremely organized, naturally personable and likeable, dependable, and very good at taking direction. Weddings involve a tremendous number of moving pieces, and we need someone who can listen carefully, remember details, follow through, and stay focused even when several things are happening at once. Just as importantly, this person will regularly interact with our couples, their families, wedding guests, and vendors, so warmth and professionalism are incredibly important. What You'll Do The Wedding Assistant will work closely with our wedding planner and the Wolf Cove Inn team throughout the planning process and on wedding weekends.
Responsibilities may include:
Assisting with wedding planning and administrative tasks Keeping wedding information, details, and materials organized Assisting with wedding-day setup and breakdown Helping place décor, signage, ceremony items, and other wedding details Preparing ceremony and reception spaces Assisting with wedding-day timelines Greeting and directing vendors as they arrive Helping organize the wedding party before the ceremony Assisting with ceremony processionals Communicating warmly and professionally with couples, guests, and vendors Making sure important details are in the right place at the right time Helping troubleshoot small issues as they arise Supporting the wedding planner throughout wedding weekends Pitching in wherever needed to help create a seamless experience for our couples During peak wedding season, this position will become much more hands-on and involved in the execution of our weddings. Creative & Marketing Support Outside of wedding-day responsibilities, this position will also have the opportunity to support the creative and marketing side of Wolf Cove Inn's wedding program. Depending on experience and interest, responsibilities may include: Assisting with updates to our wedding profiles on The Knot, WeddingWire, Zola, and other wedding platforms Helping keep photo galleries, descriptions, packages, and wedding offerings current and compelling Supporting light social media tasks, including posts, captions, real-wedding content, and behind-the-scenes moments Helping organize and curate professional wedding photography for future marketing use Identifying special moments, real weddings, guest experiences, and seasonal offerings that would be valuable to showcase Helping ensure our online wedding presence reflects the same level of quality, warmth, and attention to detail that couples experience when they visit Wolf Cove Inn Assisting with other creative projects and wedding-related marketing initiatives as needed A background in marketing or social media is not required, but someone who enjoys photography, design, storytelling, social media, or creating beautiful and engaging content may especially enjoy this part of the position. Who We're Looking For You may be a great fit if you are: Exceptionally organized and naturally attentive to details Friendly, personable, and easy to work with Excellent at taking direction and following through Dependable and punctual Someone who communicates clearly and asks questions when needed Comfortable receiving feedback and adjusting quickly Calm and composed in a fast-moving environment Able to move from one task to another without losing track of important details Proactive and observant while still respecting the direction of the wedding planner Professional in your appearance and communication Comfortable working closely as part of a small team Willing to jump in wherever needed Able to maintain a positive attitude during long and busy wedding days Comfortable using computers, online platforms, and learning new systems Someone with a good eye for detail and an appreciation for thoughtful presentation Previous wedding, event, hospitality, restaurant, administrative, marketing, social media, or customer-service experience is helpful, but it is not necessarily required. We are especially interested in finding someone with the right personality, work ethic, organizational skills, and willingness to learn. Schedule This is a part-time, year-round position with hours that fluctuate seasonally. During the off-season, you can generally expect approximately 10-15 hours per week . These quieter months will include more behind-the-scenes wedding planning, organization, administrative work, and creative or marketing projects. During our peak wedding season, the position becomes considerably more hands-on, with the opportunity to work up to approximately 30 hours per week and be directly involved in wedding execution. Because weddings primarily take place on weekends, weekend availability—particularly Saturdays—is an important part of this position during wedding season. Wedding days can also be long and active, so applicants should be comfortable spending extended periods on their feet and working throughout an event day. Someone who demonstrates strong organization, reliability, good judgment, professionalism, creativity, and an understanding of how we approach weddings at Wolf Cove Inn may gradually take on additional responsibilities within our wedding program. This could include becoming more involved in wedding planning, couple and vendor communication, creative projects, marketing, and greater responsibility during wedding weekends. We're looking for someone who doesn't simply want to work a few wedding days, but who is excited about the possibility of becoming an important part of our team and growing with us over time. Compensation $20-$25 per hour, depending on experience. About Wolf Cove Inn Wolf Cove Inn is a lakeside boutique inn and wedding venue in Poland, Maine.
