POSITION SUMMARY

Provides comprehensive administrative, logistical, document-control, interpreting, and translation support for Japanese and Filipino expatriates, their families, Kosei Group visitors, and production management. The position coordinates time-sensitive immigration, relocation, travel, healthcare, records, visitor, and production-support activities while maintaining confidentiality, accuracy, and responsive communication.

ESSENTIAL FUNCTIONS

(includes but is not limited to the following) Expatriate Immigration and Compliance Support Coordinate work-visa support as directed by the President, including gathering required information and assisting with documentation and appointments. Monitor visa and other time-sensitive document expiration dates and communicate renewal needs promptly. Assist with required residence-status notifications, including AR-11 and I-9 documentation, as applicable. Support Social Security applications by preparing documents, scheduling appointments, and accompanying expatriates to the Social Security office when needed. Housing and Relocation Support Assist expatriates with locating housing and reviewing or coordinating lease agreements and negotiations. Coordinate move-in arrangements, property insurance, utilities, cable, and internet services. Assist with banking needs, including document preparation, appointments, on-site support, and opening or closing accounts. Assist with driver's-license applications and renewals, including document preparation, BMV visits, and expiration-date monitoring. Family, Healthcare, and Emergency Support Support school enrollment for expatriate family members at local and Japanese schools and assist with school meetings when needed. Assist expatriates and their families in locating healthcare providers, scheduling appointments and annual examinations, and navigating urgent healthcare needs. Provide coordination support following accidents, including communication with law enforcement, emergency services, insurers, and involved drivers when interpretation is needed. Travel, Home Leave, and Guest Support Coordinate home-leave travel with approved travel agencies, including flights, hotels, transportation, and required KITI paperwork. Submit overseas travel-insurance claims when needed and maintain related documentation. Coordinate hotel, airport transportation, and remote airport assistance for Kosei Group guests. Support extended-stay guests by helping coordinate appropriate temporary living arrangements and related needs. Prepare meeting rooms, PPE, meals, refreshments, and other approved visitor arrangements; monitor and replenish related supplies. Records, Document Control, and Language Support Maintain accurate, current, and confidential physical and electronic expatriate records and legal documentation. Interpret Japanese and English for production activities, internal discussions, web meetings, group meetings, healthcare appointments, accident response, and other approved business needs. Translate business documents, correspondence, instructions, reports, and other written communications accurately and promptly. Organize, file, retrieve, and control assigned documents so current information is accessible to authorized personnel. Production and Administrative Support Support production management with data entry, reports, document scanning, cost tracking, daily logs, and other assigned administrative work. Participate in production-improvement projects and complete assigned follow-up activities. Coordinate approved reservations, tickets, and related arrangements for expatriates and guests. Respond to reasonable expatriate and guest support requests that fall within the position's responsibilities, company policy, and management direction. Perform other duties as assigned by company leadership.

POSITION QUALIFICATIONS

Fluency in Japanese and English, including the ability to interpret spoken communication and translate written materials accurately. Demonstrated administrative, organizational, document-control, and data-entry skills. Ability to manage confidential information and time-sensitive legal, travel, healthcare, financial, and company records. Ability to communicate effectively with expatriates, family members, visitors, government offices, service providers, and KSM personnel.
