Full Job Description Position Overview:
The Visual Media Associate supports Bellagala's photography and videography workflow from wedding day through final delivery. Working with the Visual Media Manager and Post Production Coordinator, this role handles client communication, media and file management, album fulfillment, artist coordination, and final gallery/film delivery for 1,600+ photography and 600+ videography events annually. This is a hands-on operational role for someone highly organized, technically confident, proactive, and comfortable managing multiple projects and time-sensitive deliverables.
Key Responsibilities:
Serve as the first point of contact for client questions related to galleries, films, albums, and final delivery. Troubleshoot deliverables and gallery/film access issues (ShootProof + Vimeo). Coordinate album fulfillment, including approvals, revisions, tracking, and vendor/designer follow-through.
Manage RAW photo/video files:
transfer, organize, upload/download, archive, and quality-check.
Support artist coordination:
media submission, follow-ups, and assignment/replacement needs as required. Assist the post-production workflow with media prep and communication of edits/revisions. Maintain accurate project notes/statuses and support operational improvements.
Qualifications:
Extremely organized, detail-oriented, and strong at follow-through. Comfortable handling large media files and complex file structures. Strong knowledge of Google Workspace and Dropbox/cloud file management. Adobe Creative Cloud experience (photo/video editing). Excellent written and verbal communication; able to handle sensitive client/artist situations professionally. Bonus (Preferred) Experience with ShootProof, Vimeo, HubSpot, or long-term digital media archival systems. Prior experience in high-volume creative production, post-production, or wedding/event operations.
Pay:
$24.00 - $26.00 per hour
