Administrative Assistant to the Office of K-12 Curriculum and Instruction, Pitt County Schools
Reports to: Director of Curriculum and Instruction
Terms of Employment:
12 months
Qualifications:
Associate's Degree
Experience in Fiscal Budget Management
Experience in using Google and Microsoft programs
Experience using Google Docs and Spreadsheets
Ability to effectively express ideas orally and in writing with professionalism
Essential Job Functions:
1. Provides Support to the K-12 Director of Curriculum and Instruction, Curriculum and Instruction staff, and K-12 principals
2. Communicates to the K-12 Director of Curriculum and Instruction the requirements and needs of the district
3. Prepares all required reports and maintains appropriate records for programs for fiscal monitoring and/or audits
4. Prepares and maintains purchase orders, professional leave forms, contracts, and travel reimbursements
5. Perform any bookkeeping tasks associated with the Department of Curriculum and Instruction, including preparing and maintaining purchase orders, professional leave forms, contracts,
and travel reimbursements
6. Disseminates pertinent information regarding funding availability as appropriate to meet programs' needs
7. Interacts and answers questions professionally and appropriately with the public and district staff 8. Makes travel arrangements for the K-12 Director of Curriculum and Instruction, curriculum specialists, and others as needed
9. Makes necessary arrangements for meetings, including date, location, and time, contacting those who need to attend, and seeing that all materials are prepared on matters to be discussed
10. Coordinates training, including date, location, and time, contacting those who need to attend, and ensuring that all training materials are provided
11. Assists with the coordination of textbook and digital content adoption process
12. Maintains regular filing systems
13. Processes all incoming and outgoing mail
14. Places and receives telephone calls, records messages, and keeps the Director of Curriculum and Instruction informed
15. Assesses needs, orders, and maintains supplies, materials, and equipment needed
16. Utilizes current technology to complete tasks
17. Prepares correspondence and reports as instructed
18. Performs other duties and responsibilities as assigned by the K-12 Director of Curriculum and Instruction Director
19. Assume weekly and monthly "Weekly Memo" duties.
20. Act as liaison between the Director of Curriculum and Instruction and the school administrative staff.
21. Supports the back-office process for the implementation of Read to Achieve Summer Camp.
22. Ability to maintain confidential reports, evaluations, and other information.
23. Ability to handle multiple responsibilities in an efficient, mature manner; make decisions, prioritize, and meet deadlines
Must be able to:
Operate a variety of equipment, including computers/laptops, copiers
Operate a motor vehicle
Listen and communicate effectively in order to gather, convey or exchange information
Respond appropriately to inquiries or complaints
Write using prescribed formats and conforming to all rules of punctuation, grammar, diction, and style
Interpret and carry out oral and/or written instructions
Demonstrate continued professional curiosity and growth
Communicate effectively and efficiently in a variety of settings, using appropriate terminology and etiquette by telephone and email
Perform basic math functions to understand and interpret data, to balance budgets
Prepare, read, and comprehend a variety of job-related forms, reports, spreadsheets, maps, plans, records, documentation, and correspondence
