The Administrative Assistant to the Patrick M. Villano School Principal serves as the essential, hands-on operational hub for the school community. This position is far more than a traditional secretarial role; it is a dynamic, "in-the-trenches" function dedicated to the daily, seamless operation of the school. The successful candidate will be actively engaged with faculty, staff, and the wider community, serving as a proactive problem-solver and the primary point of contact for complex administrative tasks. From managing real-time student information systems and sensitive personnel files to coordinating logistics for community events and daily school workflows, this role requires an individual who is physically and digitally present, highly organized, and committed to maintaining an efficient, supportive, and well-managed educational environment.
Qualifications:
The Administrative Assistant to the Patrick M. Villano School Principal shall have successfully completed high school; 60 or more college credits are preferred.
Terms of Employment:
Twelve-month position, dedicated sick, personal, and vacation time, medical and dental benefits. Major Duties and Responsibilities Drafts and manages digital correspondence for the Principal and faculty. Manages the school's digital calendars and schedules appointments for the Principal. Coordinates facility use for community groups via digital scheduling platforms and alerts relevant staff. Manages student enrollment, transfers, and records using the student information system: Genesis. Processes new student registrations and maintains digital logs of student transitions. Assists the Principal with inventory and management of instructional supplies. Maintains accurate electronic attendance and student records. Monitors and records staff attendance. Oversees mail distribution for the school. Facilitates community relations by managing handbooks, school newsletters, and online event notifications. Assists faculty with requests for digital and physical teaching materials. Maintains secure, up-to-date personnel and student files. Manages the Principal's financial records and bookkeeping for all school accounts. Monitors the office budget; manages petty cash and utilizes digital procurement systems for supplies. Acts as primary receptionist. Processes digital requisitions and purchase orders. Coordinates substitute teacher placement. Manages maintenance logs and work order system. Assists with electronic budget tracking and reporting. Performs other such duties as assigned by the Principal. Salary Range - Salary guide attached NJ State Health Benefits Public Employees Retirement System (PERS)
