Founded in 1998 and based in Bentonville, Arkansas, Sporting Arkansas Soccer Club is a leading youth player development organization in Northwest Arkansas and an official academy affiliate of Sporting Kansas City of Major League Soccer. POSITION SUMMARY
The Club Registrar is responsible for player registration, roster accuracy, league and tournament administration, coach and volunteer compliance, team manager support, and designated bookkeeping functions. This is a year-round, part-time position averaging 25-35 hours per week at $18-$22 per hour, based on experience and fit. The schedule offers flexibility, but regular in-office hours and occasional evening and weekend work are required. The successful candidate will receive a structured training and transition period with the club's outgoing registrar through early September.
KEY RESPONSIBILITIES
Player Registration & Roster Management Create and manage seasonal registrations for club teams, tryouts, and programs Manage player invitations, acceptances, commitments, transfers, releases, and international clearances Build and maintain accurate team rosters and player status records Create teams and registrations in PlayMetrics and other required systems Manage player and coach passes, club-pass players, and permission-to-travel forms Handle registration exceptions and complex family registration questions League & Tournament Administration Register teams and players with leagues and governing organizations Register teams for State Cup, Presidents Cup, league events, tournaments, and championship competitions Prepare roster uploads, player cards, game cards, and tournament check-in documents Track and meet all registration, roster, league, and tournament deadlines Team Manager Support Recruit, onboard, and train team managers on registration, rosters, player passes, tournaments, and team accounts Maintain team manager guides, checklists, resources, and communication groups Answer team manager questions and support required administrative processes Coach & Volunteer Compliance Track coaching certifications, SafeSport, background checks, concussion training, Coach Safely, and other requirements Collect required onboarding documents and maintain accurate compliance records Notify club leadership and staff of missing or expiring requirements Bookkeeping & Financial Administration Maintain player account records and post payments, credits, refunds, and approved adjustments Track outstanding balances and provide account information for family follow-up Maintain team accounts and review reimbursement requests for Treasurer approval Prepare approved transfers, reimbursements, and purchasing-card reconciliations Track scholarship applications, awards, account credits, loans, and transfer records Work closely with the Club Treasurer, who provides oversight and approves checks, reimbursements, refunds, scholarships, and financial exceptions Systems & Procedures Serve as the primary administrator for PlayMetrics and related registration platforms Maintain registration calendars, deadline schedules, and organized shared records Create and update written procedures, checklists, and internal resources Troubleshoot registration, roster, and system issues
QUALIFICATIONS
Required Strong organization, attention to detail, and ability to manage multiple deadlines Professional communication with families, coaches, volunteers, and league administrators Comfort with spreadsheets, shared drives, and online administrative systems Ability to maintain regular in-office hours and work occasional evenings and weekends Preferred Youth soccer registrar or youth sports administration experience Experience with league and tournament administration, team management, or bookkeeping Experience with PlayMetrics, GotSport, USYS, US Club, USSSA, or similar platforms Youth soccer registration-platform experience is strongly preferred but not required

COMPLIANCE REQUIREMENTS
The selected candidate must be able to pass background screening and complete all required SafeSport and club compliance requirements.
