Program Support for Workforce Continuing Education Allied Health
Job Description
Primary Purpose The primary purpose of this position is to provide comprehensive office management, operational, and programmatic support for Workforce Continuing Education, with a specific focus on Allied Health. This role serves as the primary administrative contact for students, faculty, adjunct instructors, and the public, ensuring efficient daily operations while supporting student success and program effectiveness Position Duties Manage department records, student and course data, and enrollment information in accordance with FERPA and institutional, state, clinical, and accrediting requirements; conduct audits and maintain accurate records in Colleague and other institutional systems. Serve as a primary point of contact for students, faculty, staff, and the public by responding to telephone, voicemail, and email inquiries; provide information regarding course offerings, registration requirements, schedules, and program requirements; and conduct information sessions, particularly for Allied Health tracks. Process student registrations, movement forms, schedule changes, withdrawals, enrollment updates, Work-Based Learning (WBL) timesheets, and Fund Five (Continuing Education) enrollment; build classes and prepare roll books for grading as directed by program leadership. Coordinate faculty and instructor support, including onboarding and preparation of instructional packets, processing faculty contracts through DocuSign and other electronic workflows, supporting adjunct faculty with classroom access and instructional logistics, and processing course and instructor evaluations. Coordinate instructional and facility needs by submitting Information Technology requests, Facilities Work Orders, and R25 room reservations; preparing and stocking course materials and supplies for classroom and clinical instruction; and supporting day-to-day course operations. Process purchasing requests, P-Card transactions, and supply orders in accordance with institutional procedures; reconcile transactions and maintain accurate financial documentation. Participate in recruitment and community outreach activities and perform other related duties as assigned by the Director of Allied Health (WCE) or the Vice President for Workforce Continuing Education and Community Engagement. Position Requirements Bachelor's degree in office administration, healthcare, or a related field is required. Three to five years of progressively responsible experience in administrative office or program support. Proficiency in Microsoft Office (Word, Excel) and student information systems like Colleague Proficiency in both English and Spanish is preferred Must possess strong critical thinking, multitasking capabilities, and the ability to work effectively with diverse populations Supplemental Information Unofficial transcripts from all degree-granting, institutions must be electronically attached to your application or submitted to Human Resources before being considered for an interview. To be considered, all degrees must be awarded by a regionally accredited institution recognized by the United States Department of Education. Official transcripts for all coursework and degrees will be required within 30 days of hire .
Foreign Degrees :
Foreign degree evaluations must be attached in lieu of transcripts for degrees earned outside the United States. Transcripts from foreign institutions will not be considered alone.

Wayne Community College accepts foreign transcript evaluations only from The National Association of Credential Evaluation Services.
