SUNY Delhi seeks a dynamic and engaging Office Assistant 2 to work in the Admissions Office . SUNY Delhi prides itself on being a welcoming college community for all. ASC application load processing is an electronic process to load student applications into Banner three times/wk and is a priority.
Electronically filing applicant materials on a daily basis is also a priority. Input registrations from MachForms, or other data collection sources, into Banner for all Admissions related events. Provide review, retrieval, and upload processing for MachForms, Youvisit, general web inquiries, and other associated sources. Must ensure clean data is uploaded into banner. Processing Outgoing Mail
Printing and processing of recruitment and applicant mailings are a daily function. Various letters require associated inserts. Maintenance of electronic letter for historical purposes is also required. Supervise and guide Student Assistants in the efficiencies and accuracy of processing mail as assigned. College Transcript Electronic Filing
Will scan college transcripts received via US mail, email, and the admissions fax. Electronically file transcripts in the document management system and attach to the student record. Accurately updated Banner to reflect transcript data and forwarded to the appropriate staff for processing. Admissions Event Support
Will assist supervisor with the reserving of rooms, setup, space, and catering for related Admission Events, such as Discover Delhi, Delhi Decision Day, or other events as needed. Assist with registration during all Admissions Events is required. Campus Connect
Download transcripts and supporting documents from the SUNY portal uploading daily into the document management system and attaching to student applications in Banner. Maintain the storeroom and inventory
will oversee the process of identifying items to replenish, such as program materials, recruitment pieces, letterhead, and general mail processing supplies to avoid interruptions in workflow. Process Incoming Mail
provide back up to opening and scanning all office mail. Assist in electronically filing documents to student applications. Office Email Accounts
Will provide backup assistance to the enroll@delhi.edu and admissions@delhi.edu email account by responding to questions, downloading documents, and appropriately uploading into the document management system (Xtender). Assessment Support
Will compile survey data from various admissions events for review and distribution.
Telephone / Receptionist
Provide outstanding customer service to guests and calls received on the primary admissions telephone line.
In addition, will provide coverage to the Student Financial Services Office call center seasonally during high volume incoming calls. Will record and transcribe Admissions weekly team meeting notes and attendance.

The successful candidate must be reachable for appointment on a present, permanent Civil Service-eligible list for Office Assistant 2; or
NY-HELPS
Previously held the NYS Civil Service Title of Office Assistant 2; or Be eligible for transfer to the Office Assistant 2 title; or One year of clerical experience.

Summary:
The Department of Civil Service first launched the HELP program in April 2023 at both the state and local level to address the workforce shortage in critical health and safety titles. The original HELP program included about 150 titles and addressed emergency staffing situations by allowing state agencies to more swiftly hire candidates that meet the minimum qualifications for those positions. To help more New York State agencies hire talented candidates, the Department of Civil Service implemented an expanded program
called the New York Hiring for Emergency Limited Placement Statewide (NY HELPS) program.
Through NY HELPS, all State agencies are temporarily authorized to make appointments to nearly any position typically filled on an open-competitive basis. The expanded
NY HELPS
program enables New York State agencies to hire diverse and talented candidates on a permanent basis to help grow the state workforce. The
NY HELPS
program for the state workforce expires on June 30, 2028.
