Job Description

O'Neill Healthcare Hospice is looking for an office assistant! This position coordinates and assists the Clinical Director/Administrator in maintaining the clerical functions, accounts payable functions and HR/payroll functions in the office. ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES 1.
Provides assistance to the Administrator, preserving the confidential nature of items of which he/she has knowledge. He/she must maintain the files, supplies and general office condition in an orderly manner. 2. Handles all correspondence and word processing for the hospice organization. 3. Answers telephone, which may include receiving inquiries, and channels them appropriately. 4. Is responsible for maintaining administrative and clerical files. Data entry and chart set up (computerized and paper) for hospice patients. 5. Files hospice aide visit notes certification/recertification papers after recording in the computerized documentation system. 6. Enters visit frequencies and ensures singed certs/recerts are current and in compliance with Medicare and Medicaid regulation. Uploads them to the computerized documentation system and ensures hard copy of forms are filed in patient charts. 7. Filing of documents as requested. 8. Mails correspondence to families and physicians. Keeps current log of what is sent to make sure they are returned with signature. 9. IDT preparation. 10. Completion of Notice of Election and Medicaid Hospice Enrollment when applicable for all new admissions. Updates Medicaid Hospice Enrollment portal when applicable with each recertification. 11. Closes out patient's clinical record when discharged. 12. Maintains current patient statistics utilizing the Management Information System. 13. HR / Payroll functions 14. QAPI audit completion as assigned. 15. Accounts Payable duties. 16. Other duties as assigned by the Director.
POSITION QUALIFICATIONS 1.
Minimum of two (2) years' experience, preferably in hospice or health care, or graduation from a one (1) or two (2) year business college preferred. 2. Is at least 18 years of age.
