Job Description

Position Summary The Library Services Coordinator and Assistant Registrar provides administrative, operational, and customer service support for library and academic services. This position assists patrons with library resources and services, manages library operations and records, supports the maintenance of the library facilities and equipment, and coordinates academic scheduling and course information management. Working closely with the Library Director, the Registrar, and individual faculty members, the individual ensures the efficient delivery of library and registrar functions while supporting the educational mission of Wartburg Seminary. The position requires strong organizational, communication, and computer skills, attention to detail, and the ability to manage multiple priorities effectively. Primary Responsibilities for Library Services Coordinator Staff circulation desk Perform administrative tasks (mail, billing, calendar, room scheduling, etc.) Order and process materials Maintain detailed records (financial, patrons, resources) Manage course reserve system Manage overdue notices Coordinate material maintenance Provide direction and track progress of student projects Run reports and track statistics Assist with maintenance of space, facilities, and equipment Perform additional duties and projects as assigned Primary Responsibilities for Assistant Registrar Work with faculty division chairs to schedule courses for fall and spring semesters Communicate fall and spring scheduling of courses to faculty instructors, including adjuncts Collect and manage course descriptions from faculty for fall, spring, and January terms Perform additional duties and projects as assigned Supervisory Responsibilities No direct supervisory responsibilities In consultation with Library Director, assign tasks to Library Student Assistants Education & Experience Associate's or bachelor's degree is preferred, but not required. Some library experience is preferred, but not required. Because the mission of Wartburg Seminary is to educate people to serve the church's mission as ordained and lay leaders, commitment to support the mission of the church is required. Because Wartburg Seminary is a graduate institution, commitment to the importance of higher education is required. Qualifications Required Knowledge (or an aptitude to learn): Computer software and databases (especially Microsoft Office) Skills and Abilities Follow written and verbal instructions Effectively communicate orally and in writing Detail-oriented Excellent organizing skills Problem-solving Flexibility Ability to multi-task Self-directed Establish and maintain effective working relationships Display tact and patience Physical and Mental Demands While performing the duties of this job, the employee is regularly required to talk, hear, move around, and work at distances close to the eyes. Employee will need to handle and reach items. Employee will occasionally need to lift boxes or materials up to 50 pounds, and be able to bend, squat, push/pull and kneel. Concentration and ability to work at one location standing or sitting for long periods of time. Ability to follow written or oral instructions, and ability to solve practical problems with little supervisory involvement.
