About the Role The Accounting Specialist supports accurate financial reporting, month-end close, account analysis, budgeting, and financial compliance for Virtuous Boss. This position performs accounting work beyond routine transaction processing, including journal entries, reconciliations, financial-statement preparation, variance analysis, contract and program coding, and internal-control support. The Accounting Specialist works closely with leadership, the Bookkeeper, and external accounting or tax professionals to ensure financial information is complete, timely, and useful for decision-making. Accounting & Close Responsibilities Support the monthly and year-end close process by maintaining close checklists, preparing schedules, resolving open items, and meeting reporting deadlines. Prepare and document journal entries, accruals, deferrals, allocations, reclassifications, and other approved accounting adjustments. Perform and review bank, credit-card, payroll, accounts-receivable, accounts-payable, and balance-sheet reconciliations. Prepare routine financial statements and management reports, including profit-and-loss, balance-sheet, cash, program, and customer-level reporting. Financial Analysis, Controls & Compliance Responsibilities Analyze actual results against budgets, prior periods, contracts, and forecasts; research variances and clearly explain significant differences. Review transaction coding and supporting documentation for accuracy, completeness, approval, and consistent application across programs and departments. Maintain contract, grant, program, project, class, and customer accounting to support profitability, reimbursement, and cost-reporting requirements. Maintain accurate financial data within accounting systems, including customer, vendor, program, project, and chart-of-accounts information. Maintain accurate vendor records and payment documentation, including W-9s and information needed for annual 1099 reporting. Review employee reimbursements, company card transactions, and business expenses for appropriate documentation, approval, coding, and policy compliance. Financial Analysis, Controls & Compliance Responsibilities (Continued) Maintain schedules for fixed assets, prepaid expenses, deposits, deferred revenue, receivables, liabilities, and other assigned accounts. Support payroll, accounts payable, accounts receivable, cash-flow monitoring, collections, and financial issue resolution as assigned. Prepare documentation and schedules for audits, tax filings, financing, insurance, certifications, contracts, and external accountant review. Strengthen accounting procedures and internal controls and promptly communicate errors, unusual activity, cash concerns, or compliance risks to leadership. Assist with cash-flow forecasting and monitoring, including expected receipts, upcoming obligations, and potential financial concerns. Support grant and contract financial tracking, including expenditures, allowable costs, reimbursement documentation, funding restrictions, and required financial reporting, as applicable. Compensation The compensation for this position will be based on experience, qualifications, and role requirements. Compensation is paid on a semi-monthly basis, subject to applicable taxes and withholdings. Qualifications At least three years of accounting experience in a small business, nonprofit, education, government-contracting, or professional-services environment preferred. An associate or bachelor's degree in accounting, finance, business, or a related field preferred; equivalent relevant experience will be considered. Proficiency with QuickBooks Online or a comparable accounting system and advanced spreadsheet skills in Excel or Google Sheets. Working knowledge of accrual accounting, account reconciliations, journal entries, financial statements, budgeting, and internal controls. Exceptional accuracy, analytical ability, organization, confidentiality, deadline management, problem-solving, and follow-through. Ability to communicate financial information clearly and work effectively with leadership, staff, bookkeepers, payroll providers, accountants, and tax professionals.
