Job Description

ROLE AND RESPONSIBILITIES
This position is designed to maintain accurate and timely financial records, supporting the financial & business operations of Christ Church Methodist & its fulltime preschool and childcare facilities ("CCM"). Responsibilities include general ledger accounting, accounts payable and receivable, contributions, reconciliations, banking, fixed assets, financial reporting, budgeting, audit support, payroll support & internal controls.
ROLE AND RESPONSIBILITIES
A. Accounting & General Ledger Maintain organized accounting records and supporting schedules; reconcile the general ledger in QuickBooks Online (QBO) and review and classify bank-feed transactions Prepare journal entries & supporting documentation; perform monthly bank, credit card, investment, & balance-sheet reconciliations and research & resolve discrepancies & unusual transactions. B. Financial Reporting & Close Prepare reconciliations, accruals, schedules, closing entries, budget-to-actual reports and investigate significant variances. Support monthly and year-end closing; assist with financial statements and management reports; and provide financial information and analysis to leadership and ministry teams. C. Contributions & Fund Accounting Record, reconcile & report member & charitable contributions; research contribution discrepancies while protecting confidentiality and prepare quarterly & annual contribution statements. Reconcile donor-management records, deposits, merchant activity, and the general ledger. Maintain designated and restricted fund records. D. Accounts Payable, Receivable & Banking Maintain vendor records and W-9 documentation and prepare annual 1099 information reporting. Perform accounts receivable and deposit functions; process approved invoices, reimbursements, checks, and ACH payments and reconcile banking and merchant-processing activity. Support positive-pay and other fraud-prevention controls. E. Fixed Assets & Inventory Maintain fixed-asset register and reconcile it to the general ledger; record acquisitions, disposals, depreciation, and transfers and assist with physical asset verification and inventory reconciliation. F. Budgeting & Analysis Support ministry leaders with budget preparation and assist with annual operating and capital budgets Prepare forecasts, projections, and financial analyses and research significant budget variances and provide supporting information. G. Audit, Compliance & Internal Controls Prepare schedules and documentation for external audits or financial reviews while serving as a routine accounting contact for external accountants and auditors. Assist with PCI compliance and applicable tax, payroll, and reporting requirements. Follow and improve accounting policies, procedures, and internal controls and promptly report errors, irregularities, or control concerns. H. Payroll, HR & Business Office Support Maintain confidential personnel, timekeeping, compensation and PTO records. Coordinate payroll information and employee changes with the payroll provider and assist with payroll processing, reconciliation, benefits administration, vendor research, and special projects.
MINIMUM EXPERIENCE AND EDUCATION REQUIREMENTS
This position requires 3 or more years of progressively responsible bookkeeping or accounting experience with previous expertise preparing journal entries and bank and balance-sheet reconciliations as well as general ledger accounting, reconciliations, AP/AR, and financial reports. Knowledge of nonprofit payroll, tax, and information-reporting requirements; hands-on accounting software experience, preferably QBO; proficiency with Microsoft Excel and Word, strong analytical, mathematical, organizational, and problem-solving skills and written and verbal communication skills with the ability to manage multiple priorities and deadlines are necessary.
REQUIRED SKILLS, TRAINING & EXPECTATIONS
The position requires exceptional accuracy, integrity, confidentiality, discretion, and stewardship when handling church funds, donor records, employee information, and other confidential matters. While not required an associate or bachelor's degree in accounting, finance, business, or related field; experience in Church or nonprofit accounting, fund accounting and restricted/designated contributions, APS or comparable payroll-systems, audit or financial-reviews, month-end/year-end closes and budgeting and budget-to-actual reporting experience are preferred. The Staff Accountant is expected to maintain accurate and timely records, meet accounting deadlines, follow CCM policies and controls, protect confidential information, communicate significant issues promptly, work independently within established policies, and continually seek reasonable improvements in accounting processes and controls.
WORKING RELATIONSHIPS & SCHEDULE
This position reports to the Business Operations Manager and collaborates with church staff, ministry leaders, Finance Committee, Leadership Board, members, donors, vendors, financial institutions, payroll and benefits providers, and external professional advisors. Daily work schedule will be established by the Business Operations Manager based on CCM's operational needs. Periodic flexibility may be required for month-end/year-end close, budgeting, audits, contribution reporting, special events, and other business-office needs.
