Job Description

Job Summary The Accounting Specialist supports the day-to-day accounting and administrative operations of First Saturday Lime. Reporting to the Accounting Manager, this role oversees a range of transactional accounting processes, including accounts payable support, customer and vendor setup, recurring journal entries, and account reconciliations, as well as accounts receivable support and related compliance, insurance, registration, and procurement responsibilities. This position is well-suited to a detail-oriented professional who values accuracy, follows established processes and internal controls, handles confidential information with discretion, and can manage a varied workload spanning both accounting and operational support. Key Responsibilities Accounts Receivable Support Generate and issue wholesale customer invoices accurately and on schedule. Run and distribute the weekly AR Aging Summary and flag past-due wholesale accounts for follow-up. Provide collection support to the wholesale sales manager as needed (e.g., invoice copies, backup documentation); the wholesale sales manager owns direct customer contact. Set up new customers in QuickBooks, ensuring required documentation and account information is complete and accurate. Accounts Payable & Cash Support Perform credit card and receipt capture matching in Dext to support accurate expense coding. Prepare electronic bank deposits and upload supporting documentation to QuickBooks. Set up new vendors in QuickBooks, ensuring all required documentation, such as W-9s and applicable tax forms, is collected and retained. Procurement & Supply Ordering Serve as the primary point of contact for ordering office supplies, helping ensure purchasing stays within approved scope and channels. General Accounting Prepare and post monthly and recurring journal entries as needed under the direction of the Accounting Manager. Perform vendor statement reconciliations, researching and resolving discrepancies as needed. Complete balance sheet account reconciliations as assigned by the Accounting Manager. Support month-end close activities and other ad hoc accounting tasks as assigned. Compliance & Registrations Maintain state registrations and assist with related filings. Maintain company vehicle registrations and ensure they remain current. Provide general compliance assistance and recordkeeping support. Insurance Administration Maintain business insurance records, including auto insurance, ensuring drivers are added and removed as needed, and coverage information stays current. Inventory & Operational Support Participate in monthly inventory and cycle counts as needed. Complete the daily mail run and handle related correspondence. Perform other related duties and special projects as assigned by the Accounting Manager. Required Skills & Abilities Solid understanding of fundamental accounting processes, including AR, AP, and journal entries. Strong attention to detail, organizational skills, and the ability to manage multiple recurring deadlines. Ability to handle confidential financial and personnel information with discretion. Proficiency with Microsoft Office software. Valid driver's license and reliable means of completing local errands (e.g., mail run, bank deposits). Preferred Qualifications Hands-on experience with QuickBooks Online. Experience with Dext or a comparable receipt-capture/expense-management tool. Experience in a manufacturing, distribution, or multi-channel e-commerce environment. Familiarity with state registration, vehicle registration, or business insurance administration. Education & Experience Associate's degree in accounting or business, OR 5+ years of equivalent hands-on accounting experience in lieu of a degree. Physical Requirements On-site role based in Okarche, Oklahoma; primarily an office environment with periodic time on the production/warehouse floor for inventory counts. Occasional local travel for bank deposits, mail, and errands. Must be able to perform routine office activities and occasionally lift or move light materials during inventory participation.
Pay:
$24.00 - $28.00 per hour Expected hours: 40.0 per week
