Accounting & Administrative Assistant

Job Description

The Administrative Assistant provides administrative, accounting, customer service, and quality systems support to ensure the efficient operation of the office and manufacturing facility. This position is responsible for supporting Accounts Payable and Accounts Receivable processes, maintaining quality documentation, assisting with ISO quality system activities, and providing general administrative support to internal and external customers. The role requires strong organizational skills, attention to detail, accuracy, and the ability to manage multiple priorities in a fast-paced manufacturing environment. Finance and Accounting Process Accounts Payable (AP) by matching invoices to purchase orders and packing slips, identifying and resolving discrepancies. Reconcile and enter credit card payables into LabelTraxx. Enter vendor invoices into LabelTraxx accurately and in a timely manner. Prepare check runs for management review and signature. Process online vendor payments as authorized. Maintain complete AP documentation and filing systems. Process Accounts Receivable (AR) invoices accurately and timely (daily) following established internal review procedures. Weekly bank run to deposit any checks received. Retrieve, organize, and file completed job folders. Review completed and invoiced jobs with gross margins below established targets and report findings to Accounting and Operations for follow-up. Administrative Support Answer and direct incoming telephone calls professionally. Greet and assist visitors. Scan and electronically archive company documentation as required Retrieve, sort, and distribute incoming mail. Maintain office and breakroom supplies. Assist with planning and coordinating company meetings and events. Purchase job-out materials in coordination with Customer Service. Support annual records retention, archiving, and document management activities. Other projects as assigned. Quality Systems Support Maintain electronic filing of supplier Certificates of Conformance (CoCs). Generate customer Certificates of Conformance as required. Perform in-process Thermal Imprint Testing in accordance with job specifications and Quality Assurance procedures. Assist with ISO Quality Management System administrative activities, including document control and audit preparation. Conduct completed job jacket reviews to verify documentation accuracy and completeness. Route identified discrepancies to the appropriate department manager for correction. Ensure completed job documentation, approved proofs, and retained samples are properly filed. Print box and core identification labels in accordance with production requirements and coordinate requests with Customer Service and Production. Education and Experience High school diploma or equivalent required. Associate degree in Business Administration, Accounting, or a related field preferred. Minimum of two years of administrative, accounting, or office support experience, preferably in a manufacturing environment. Experience with ERP systems such as Label Traxx is preferred. Knowledge, Skills, and Abilities Knowledge of basic accounting principles, clerical procedures, and recordkeeping. Strong organizational skills with exceptional attention to detail and accuracy. Excellent verbal and written communication skills. Strong interpersonal skills with a customer-focused approach. Proficient in Microsoft Office Suite, Outlook, Word, and Excel. Ability to prioritize work, manage multiple assignments, and meet deadlines. Ability to work independently while collaborating effectively with cross-functional teams. Physical Requirements Prolonged periods of sitting while performing computer and administrative tasks. Frequent walking throughout the manufacturing facility. Ability to lift and carry up to 15 pounds. Ability to use stairs multiple times throughout the workday. Occasional standing, bending, reaching, and filing. Work Environment Office environment within a manufacturing facility. Regular interaction with production, customer service, accounting, quality, vendors, and customers. Exposure to production equipment, noise, and manufacturing activities while following all required safety procedures. Pay:
$22.00 - $24.00 per hour
