For over 30 years, we have provided reliable drilling services to numerous local geotechnical engineering firms. Job Summary We are seeking an experienced and detail-oriented Bookkeeper/Billing Manager to oversee our accounting and billing operations. This role is responsible for the full range of accounts receivable and accounts payable functions, payroll processing, and insurance and business license renewals. The Bookkeeper/Billing Manager will ensure accurate and timely financial record-keeping, manage billing and payment processes, process payroll and maintain positive relationships with clients and vendors. In addition to accounting responsibilities, this position will also assist with general office management, insurance administration, and human resources functions as needed. The ideal candidate will have a strong background in bookkeeping and accounting, a solid understanding of financial concepts, excellent organizational skills, and a customer-service-oriented approach. This position plays an important role in supporting the company's financial health and day-to-day operational efficiency. Responsibilities - Maintain financial records, conduct monthly bank and credit card reconciliations, input journal entries, chart of accounts, review financials (Balance Sheet, P&L, GL, etc.), work with CFO and outside Accountant for taxes, asset purchases & disposals, depreciation schedule, etc. - Process bi-weekly payroll in
Quickbooks Online:
gather all hourly staff's timesheets and review for accuracy, input hours onto Timesheet Summary. Identify regular, overtime, double overtime, PTO, holiday, prevailing wage, foreman rates, bonuses, etc.). Abide by legal requirements for wage garnishment. Tally payroll advances and credit card expenditures to appropriately deduct from payroll. Review timesheet summary with Director of Operations (DoO) or owner for approval, process payroll.
Prevailing Wage:
Check for updates to prevailing wage determinations biannually (February 22 and August 22); prepare all required forms, calculations, payments and steps for compliance, provide payroll records and required forms to clients for payment collection. - Set up new clients, create and send client invoices, record client check payments and electronic payments into accounting system (QuickBooks Online). Maintain invoice tracking log with daily invoices. Write-off unbillable amounts quarterly after review with team. Set up new clients in QBO, complete requested form W-9. Provide A/R report to the company President, CFO and DoO monthly. Coordinate A/R meetings with finance team periodically. Shred deposited checks.
Collections:
identify outstanding accounts and contact clients for payment. Investigate client issues and resolve billing discrepancies quickly, and/or assist with client needs. - Input vendor invoices into QBO and cut vendor checks before due date, reconcile and match electronic vendor payments, input invoices into QBO, review staff expense reports, track safety boot/other purchases, set up new vendors in QBO, request form W-9, and prepare end-of-year 1099s. - Maintain/obtain business licenses, order and store supplies, take phone calls and schedule as needed, process incoming and outgoing mail, research per-diem costs for staff, reserve lodging and provide stipend for meals, etc., maintain fleet vehicle records, assist with website updates and work with IT for technical issues if needed. Prepare billing rate sheet and send to clients when needed. Assist with keeping the warehouse clean of debris and shelf items organized, keep kitchen and common areas tidy. - Assist with insurance renewals and maintain insurance records, request Certificates of Insurance (COI) from insurance team and forward COI to clients, complete annual/bi-annual Workers' Compensation audit, keep log for Vision, Dental, and other Medical payments to staff. - Assist with publishing job ads, prepare new hire packages and assist with application process and onboarding. Onboarding by obtaining the required identification before work begins: Input new employee data into QBO and maintain changes to personnel records (employment application, emergency contact form, confidentiality notice, Form I-9, Form W-4, Form
DE 4, QBO
Payroll sheet for direct deposits, biennial sexual harassment training, etc.). Create PTO log and manage PTO hours, post California and Federal law notices, process employee terminations, update employee insurance. file Workers' Compensation claims and follow-through with requirements. Track employee absences and request work status notices from medical care team, Qualifications
Accounting experience required (minimum of 3 years professionally)
Construction or A/E industry experience a plus
Current Computerized Platforms:
Microsoft 365, Quickbooks Online, Box, and Caspio (CRM)
