Job Description

Job description: Position Purpose The purpose of a Bookkeeper/Administrative Assistant is responsible to ensure the accurate and efficient management of an organization's financial transactions and records. This role involves meticulously recording all financial activities, including accounts payable and receivable, payroll, and bank reconciliations. By maintaining up-to-date financial data, the Bookkeeper plays a vital role in supporting the organization's financial health, providing essential insights through regular financial reporting, and ensuring compliance with relevant regulations and accounting standards. Furthermore, will ensure compliance with AUP procedures and be the main lead of yearly audits with the assistance of upper management. This role also includes organizing and maintaining files for recordkeeping. Responsibilities Operate computers programmed with accounting software to record, store and analyze information. Verify accuracy of figures, postings, and documents for correct entry, mathematical accuracy and proper coding. Adhere to federal, state and company policies, procedures and regulations. Code transactions and documents following company procedures. Identify and report discrepancies in financial records. Prepare purchase orders and secure management approval with signatures. Perform general office duties, such as filing, answering telephones, and handling routing correspondence. Classify, record and summarize numerical and financial data to compile and keep financial records. Match order forms with invoices and record necessary information. Calculate and process company expense payments. Reconcile records of bank transactions monthly and have it signed by management. Generate invoices for student accounts and applied corresponding payments. This also includes the creation of student account statements when needed. Produce on-demand reports such as general ledgers, balance sheet and profit loss. Maintain inventory records. Bill self-pay contracts monthly and update payment tracking system. Maintain open line of communication with management. Experience in payroll processing, ensuring continuity and accuracy in payroll operations. Flexibility to work at another location upon request. Perform other duties as assigned. Qualifications Proficiency in accounting software (Quickbooks) is preferred. Strong understanding of technical accounting principles, including accounts payable, journal entries, and balance sheet reconciliation. Experience in financial report writing is a plus. Excellent organizational skills with a keen attention to detail. Ability to manage multiple tasks effectively while meeting deadlines. Strong communication skills, both written and verbal, to interact with team members and stakeholders. A proactive approach to problem-solving and ability to work independently as well as part of a team. Bachelor's degree in Accounting, Finance, Business Administration or related field preferred. High school diploma and post-secondary certificate required. Previous work-related skill, knowledge or experience in accounting principles is required.
