Overview We are seeking a diligent and detail-oriented Accounts Receivable Associate to join our finance team. In this role, you will oversee the management of customer accounts, ensure accurate billing and collections, and support the overall financial health of our organization. The ideal candidate will possess strong accounting skills, technical proficiency with financial software, and excellent communication abilities to effectively manage client relationships and maintain precise financial records. Responsibilities 1. Daily management of assigned customer accounts 2. Communication with internal and external customers concerning past due invoices, back charges, payment application, and all other activity affecting the customer account 3. Daily posting of payments to customer accounts 4. Daily balancing of deposit and processing to bank through remote deposit. 5. Monitoring of AR emails 6. Prompt assistance with customer phone calls/emails questions and concerns 7. Responsible for daily, weekly, and monthly customer invoice and statement mail outs as per customer requirements 8. Assist with collection calls and emails 9. Assist in gathering information required for new customer processing 10. Daily AR Report update Generate accurate invoices using billing software and ensure timely distribution to customers. Manage accounts receivable portfolios by monitoring overdue accounts and executing collection strategies. Reconcile customer accounts, perform account analysis, and resolve discrepancies efficiently. Maintain detailed records of transactions, including journal entries, debits & credits, and account reconciliations. Collaborate with clients to address billing inquiries and provide exceptional customer service. Utilize accounting systems such as Sage, PeopleSoft, or similar platforms to update financial data. Support month-end closing processes by preparing reports on receivables aging and revenue cycle management. Assist with data entry tasks related to accounts receivable and accounts payable functions. Ensure compliance with GAAP standards and internal controls such as SOX regulations. Analyze Excel data using formulas for reporting purposes and support financial analysis initiatives. Skills 1. Proficient in Microsoft Excel and Word 2. Time management skills 3. Excellent organizational skills 4. Excellent communication and telephone skills 5. Attention to detail and high level of accuracy Proven experience in accounting or finance roles, particularly in accounts receivable management. Proficiency with accounting software including QuickBooks, Sage, PeopleSoft, or similar systems. Strong understanding of GAAP principles, double entry bookkeeping, and technical accounting concepts. Familiarity with billing software, spreadsheets, Excel formulas, and data analysis techniques. Knowledge of revenue cycle management, credit analysis, and collection account management. Excellent organizational skills with attention to detail in data entry and account reconciliation. Effective communication skills for client interaction via phone etiquette and professional correspondence. Ability to perform account analysis using Excel data analysis tools for reporting insights. Basic understanding of accounts payable processes and financial concepts related to debits & credits.
