A Lake Charles area construction company is currently looking to hire an experienced, dependable individual for a full-time office position with our company. This person will be responsible for managing the day-to-day bookkeeping, accounting, employee compliance, safety documentation, and administrative requirements of the business. We are looking for someone who can take ownership of these responsibilities, stay ahead of deadlines, and keep the company organized and compliant.
Primary responsibilities will include:
- Full-charge bookkeeping and day-to-day accounting management
- Strong proficiency in QuickBooks Online and/or QuickBooks Desktop
- Accounts payable and accounts receivable
- Bank and credit card reconciliations
- Payroll processing
- Payroll tax reporting and required quarterly filings
- Maintaining accurate financial records and account information
- Working directly with our CPA and providing requested financial documentation
- Preparing and maintaining heavy-haul and oversize/overweight trucking permits
- Maintaining DOT and other transportation compliance requirements
- Managing certificates of insurance and insurance-related documentation
- Coordinating employee drug and alcohol testing requirements
- Managing ISNetworld, Veriforce, and other customer/vendor compliance systems
- Maintaining employee Operator Qualifications (OQs)
- Tracking employee safety training, certifications, medical cards, and expiration dates
- Scheduling required employee training, testing, and renewals
- Ensuring employees remain compliant with customer-specific and jobsite-specific safety requirements
- Employee onboarding and maintaining personnel and compliance records
- Maintaining company and employee safety documentation
- Assisting with customer prequalification and contractor compliance paperwork
- Maintaining required company licenses, registrations, certifications, and renewals
- General office administration, scheduling, recordkeeping, and document management Qualifications and experience:
- Minimum 3-5 years of bookkeeping, accounting, or similar financial management experience
- Strong working knowledge of QuickBooks, including day-to-day bookkeeping, reconciliations, payroll, and financial recordkeeping
- Strong organizational and time-management skills
- Ability to manage multiple deadlines and responsibilities with minimal supervision
- Strong attention to detail and accuracy
- Good written and verbal communication skills Previous experience with a pipeline, construction, heavy-haul trucking, oil and gas, or industrial service company is strongly preferred.
Experience with payroll, DOT compliance, ISNetworld, Veriforce, OQs, safety documentation, and contractor compliance systems would be especially valuable. This is a full-time position for someone who can become a key part of our office operations and take responsibility for keeping the financial, administrative, and compliance side of the business running smoothly.
