Administrative Assistant | Accounts Payable

Job Description

The Administrative Assistant | Accounts Payable role provides day-to-day operational support to the Finance and Project Management teams through document collection, accounts payable resolution, maintaining vendor relationships and other ad hoc deliverables requested by the applicable business areas. Reporting directly to the Finance Director, this role is a key contributor to ensuring back-office tasks are completed timely and accurately, so that the business continues to operate fluently. This role is a highly visible role that supports a 100% employee-owned company, where financial transparency and integrity directly impact employee-owner value. Key Responsibilities Accounts Payable Maintain AP mailbox, ensuring all vendor invoices and correspondence is handled promptly. Initiate the processing of vendor invoices for review by Accounts Payable Specialist. Assist Accounts Payable Specialist in the processing of invoices in ERP (Foundation). Review vendor statements for any outstanding payments and missing invoices. Work directly with vendors on resolving any reconciling variances. Communicate any non-standard activity to the Finance Director and/or CFO. Support vendor maintenance ensuring the ERP (Foundation) is properly updated with vendor details and proper documentation is acquired (W-9). Reconcile and process all excise tax invoices and registration renewals. Perform other related duties as assigned. Team Leadership Model the values of employee ownership and operational excellence. Adhere to the Company's code of ethics. Office Management Receive, review and distribute all incoming mail / packages. Process all incoming cash receipts promptly. Monitor office supplies to ensure applicable locations continue to operate without interruption. Ensuring postage machine is appropriately funded.
Core Competencies:
Understanding of Accounts Payable. Attention to detail while performing daily tasks. Basic understanding of financial controls and regulatory compliance.
Qualifications:
High school diploma or equivalent. Detailed oriented. Experience with the construction industry and data entry. Proven dedication as a member of a Finance team. Communication skills when engaging non-finance personnel. Ability to thrive in a collaborative, fast-paced, employee-owned environment.
