Job Description

Job Summary We are assisting a small, established company with the recruitment of an experienced Business & Office Administrator / Bookkeeper to take ownership of its day-to-day financial and administrative operations. This is a broad, hands-on position for someone who enjoys working in a small-company environment. The successful candidate will become a key member of the organization and progressively assume responsibility for many of the business and administrative functions currently handled by management. Key Responsibilities Take day-to-day responsibility for QuickBooks Online , including transaction entry, accounts payable, accounts receivable, bank reconciliations, general ledger maintenance, and financial reporting. Manage vendor invoices and payments and maintain supporting financial documentation. Learn and manage the company's bi-weekly payroll process using SurePayroll . Take responsibility for purchasing , including obtaining quotes, placing orders, working with vendors, tracking purchases and deliveries, and coordinating invoices and payments. Maintain vendor records using our in-house Vendor Management System. Assist with administration of our in-house Document Management System. Attend designated company meetings, prepare minutes, and track administrative action items. Maintain corporate and administrative records and documentation. Prepare correspondence, reports, and spreadsheets. Coordinate office supplies, vendors, service providers, and other routine office requirements. Perform routine corporate website content updates after training. Handle other administrative responsibilities and special projects as needed. Qualifications Minimum 3 years of substantial hands-on QuickBooks Online experience required. Demonstrated experience with bank reconciliations, accounts payable, and general bookkeeping. Strong Microsoft Excel and Word skills. Excellent organizational and recordkeeping abilities. Strong written and verbal communication skills. Ability to handle confidential financial and employee information. Strong attention to detail and follow-through. Comfortable learning company-specific software systems. Able to work independently, manage multiple responsibilities, and identify and resolve routine problems without requiring constant direction. Experience with payroll, purchasing, vendor management, meeting minutes, and office management is highly desirable. Experience working in a small business or scientific, medical, biotechnology, clinical-research, engineering, or other technical environment is also a plus. QuickBooks Online ProAdvisor certification is desirable but not required. About the Role Because we are a small company, this is not a position where every responsibility belongs to a separate department. We are looking for someone who enjoys taking ownership, learning how the business operates, and making sure things get done. The ideal candidate will eventually become the person management can rely upon to ensure that routine financial and administrative responsibilities are handled accurately and on time, while bringing exceptions and matters requiring management approval to management's attention.
Pay:
$30.00 - $36.00 per hour Expected hours: 40.0 per week
