Position Summary The Bookkeeper is responsible for managing day-to-day accounting activities across accounts receivable, accounts payable, cash receipts and disbursements, general ledger transactions, account reconciliations, and month-end close support. This position requires strong attention to detail, sound judgment, confidentiality, and a commitment to maintaining accurate financial records and effective internal controls. The ideal candidate will have experience with full-cycle bookkeeping, preferably in a manufacturing, job shop, or similar environment. Key Responsibilities Prepare and issue customer invoices for completed jobs and other applicable charges. Apply all daily cash receipts, including checks, ACH, wire transfers, lockbox receipts, and credit card payments. Reconcile daily deposits to bank activity and investigate discrepancies. Review accounts receivable aging reports weekly. Contact customers regarding past-due balances, document collection activity, and escalate accounts requiring management attention. Maintain accurate customer master data, including credit applications, references, credit limits, payment terms, and tax exemption certificates. Recommend credit limits and payment terms for new customers. Administer customer payment portals and applicable supply chain financing or early-payment programs. Research and resolve billing disputes, short payments, and deductions in coordination with Customer Service and Quality. Perform three-way matching of purchase orders, receiving documentation, and vendor invoices before payment. Investigate and resolve price and quantity variances in coordination with Purchasing. Process vendor invoices, outside-processing and subcontract invoices, freight bills, employee expense reports, and corporate card transactions. Prepare weekly check and ACH disbursement runs in accordance with the approved cash plan. Identify and capture available early-payment discounts. Maintain the vendor master file, including W-9 forms, certificates of insurance, and remittance information. Independently verify and document vendor banking change requests through a callback before making any changes. Reconcile vendor statements monthly and research and resolve outstanding items. General Ledger & Reconciliations Prepare and post recurring and adjusting journal entries, including accruals, prepaid expense amortization, and account reclassifications. Maintain appropriate supporting documentation for all journal entries. Reconcile cash, accounts receivable, accounts payable, and other assigned balance sheet accounts on a monthly basis. Support month-end and year-end closing activities. Prepare schedules and supporting documentation for outside accountants. Internal Controls & Audit Support Maintain accounting records and documentation sufficient to support financial, customer, and registrar audits. Follow established accounting policies, procedures, and internal controls. Observe appropriate segregation-of-duties requirements and identify potential control issues. Maintain organized and accurate documentation for transactions and account reconciliations. Payroll Backup Serve as a cross-trained backup for weekly payroll processing. Assist with collection, review, and verification of employee time records
Qualifications:
Associate's or bachelor's degree in Accounting, Finance, Business, or a related field Three or more years of practical experience with accounts payable, accounts receivable, and general ledger accounting. Working knowledge of full-cycle bookkeeping and accounting principles. Experience with account reconciliations, journal entries, A/R aging, A/P processing, and month-end close activities. Strong attention to detail and accuracy. Excellent organizational and problem-solving skills. Ability to maintain confidentiality and handle sensitive financial information. Strong communication and follow-up skills when working with customers, vendors, employees, and internal departments. Ability to work independently while also collaborating effectively across departments. Manufacturing, job shop, or other project-based accounting experience is preferred.
