Job Description
Reports to: Business Manager
FUNCTION
Must perform a wide variety of bookkeeping, accounts payable, and office related functions. Primary responsible for all aspects of accounts payable processes, accounts receivable processes, and other district-wide support duties including cross training.
RESPONSIBILITIES AND DUTIES
- 1. Assist in maintaining general order and efficient operation in the Business Office and other aspects of the district/schools as needed;
- 2. Routinely performs and/or implements district level functions, office functions, operations, procedures, and systems that support and enhance district level and school level operations;
- 3. Take initiative and provide assistance to the staff, teachers, administrators, students and parents;
- 4. Input and maintain data with precision and accuracy in print documents and electronic systems (Infinite Visions, Microsoft Office, Google Docs, etc.), as needed;
- 5. Use independent judgment to analyze the operations in the business office, identify potential problems, bring them to the attention of appropriate staff and/or administrators;
- 6. Exercise independent judgment in correcting errors or omissions in print and electronic files, procedures, operations and functions; 7. Review & enter purchase orders following the unified chart of accounts; monitor and manage account balances;
- 8. Maintain accurate financial records;
- 9. Ensure materials/supplies needed for the operation of the school are available;
- 10. Process forms and maintain accurate records of students and staff;
- 11. Maintain legally required and appropriate levels of confidentiality;
- 12. Cross train and provide support in other roles in the business office and other offices as necessary;
- 13. Create and distribute routine and confidential internal and external; communication in print and electronic form as requested;
- 14. Effectively use productivity software (Infinite Vision, Word, Excel, Outlook, PowerPoint, Google Docs, etc.) to organize and maximize the efficiency of the business office;
- 15. Use electronic media such as email and the school and district website to communicate with staff and the community;
- 16. Maintain a regular filing system as well as appropriately locked files of confidential staff records and other information, and prepare them for permanent storage;
- 17. Process incoming telephone calls, mail, and other correspondence, maintains accurate records of these communication, and forwards relevant information to teachers, staff, guidance counselors and administrators, as appropriate;
- 18. Create and distribute routine and confidential internal and external; communication in print and electronic form as requested;
- 19. Exercise patience and tact when dealing with parents, students, teachers, administrators, and the public;
- 20. Specific vision ability required by this job includes close vision and distance vision;
21. Occasionally, yet essential to this position, the individual must meet deadlines with severe time constraints; the position may require the employee to work irregular or extended hours, direct responsibility for the safety, well-being, or work output of other people, and meet multiple demands from several people;
22. Drive to and from the middle school, high school, and other locations as needed;
23. Work collaboratively and professionally with staff, teachers, and administrators in the FosterGlocester Regional School District, and the community;
24. Assist staff, teachers, and administrators in the performance of duties such as copying, form completion, assembling materials, etc., to support the operations of the district as requested;
25. Facilitate and support the implementation of school, district and state initiatives;
26. Perform the functions of the position in accordance with the Code of Professional Responsibilities, governing laws and regulations, and all School Committee and district policies, procedures, and administrative directives; and
27. Performs other related duties and responsibilities as assigned by the Business Manager or designee.
