Job Description

Job Summary We are seeking a dedicated and detail-oriented Accounts Receivable CCS (Customer Collection Specialist) to join our dynamic accounting team. Primarily responsible for providing exceptional customer service and support to veterans throughout the VA disability claims process by managing client communications, documentation, payments, and interdepartmental coordination while ensuring an outstanding client experience.
General purpose:
To deliver accurate, timely, and compassionate client support that promotes successful claim processing, client satisfaction, and operational efficiency while maintaining compliance with company policies and HIPAA standards.
Position responsibilities:
Provide outstanding customer service by actively listening to clients, understanding their needs, and delivering timely and effective solutions. Build and maintain positive relationships with veterans through empathy, patience, professionalism, and consistent communication. Conduct follow-up calls with veterans awaiting VA decisions, maintaining a minimum of two contacts per month to provide updates and ongoing support. Monitor client satisfaction, address concerns proactively, and assist with client retention initiatives. Collaborate with Sales, Marketing, Operations, Accounting, Packets, Next Round, Hot Seats, and other departments to ensure seamless client service and claim processing. Collect all required documentation necessary for VA disability claims and verify its completeness and accuracy. Receive, review, upload, and appropriately route documentation to the correct department for processing. Notify the Hot Seats team when veterans are scheduled for Compensation & Pension (C&P) examinations to ensure proper client preparation. Contact veterans regarding potential disability rating increases and obtain VA decision letters when applicable. Collect client payments, process walk-in payments, monitor outstanding balances, and contact clients regarding delinquent payments. Maintain accurate records of client interactions, documentation, payment activity, and claim status within company systems. Accurately enter and maintain data in CRM systems, Microsoft Excel, Hyfin, QuickBooks, and other company software platforms. Answer incoming telephone calls and provide prompt responses to text messages, emails, and internal communication channels. Audit outbound and follow-up call campaigns to ensure quality standards and departmental objectives are achieved. Demonstrate exceptional attention to detail when handling sensitive veteran information and documentation. Maintain strict HIPAA compliance and confidentiality while safeguarding client information. Collaborate with team members by sharing client feedback, trends, and recommendations to improve service quality and operational efficiency. Stay informed of VA processes, industry developments, company services, and organizational procedures to effectively assist clients. Assist in developing and improving client care processes, workflows, and standard operating procedures. Support department operations during periods of increased workload, staffing shortages, or other operational needs by assisting with calls, documentation processing, and related responsibilities. Collect, analyze, and report operational and performance data to leadership to support informed decision-making and continuous process improvement. Effectively communicate with clients in both English and Spanish to ensure quality service for a diverse veteran population. Perform additional duties and special projects as assigned to support departmental and organizational objectives. Pay:
$27,040.00 - $31,200.00 per year
