As we continue to grow, we are seeking a dedicated Bookkeeper / Administrative Assistant to join our team and help manage our financial operations.
Position Overview:
This position will primarily be responsible for maintaining accurate financial records for the company. This role requires attention to detail, organizational skills, and the ability to handle a variety of financial tasks. This position will take on an administrative role, including HR tasks like, onboarding new employees, benefits administrator as well as assisting the management team with various tasks. The ideal candidate will have a detailed knowledge of, and experience using Zoho, QuickBooks, or other accounting software. Must also have a willingness to take on an administrative roll with misc. HR tasks and various other company related activities.
Key Responsibilities:
Accounts Payable & Receivable:
Process and track incoming and outgoing payments, ensuring all bills are paid in a timely manner and that all client invoices are sent and collected.
Payroll:
Calculate and process payroll for employees, including subcontractors, ensuring accuracy and compliance with tax laws.
Bank Reconciliation:
Reconcile monthly bank statements and credit card statements to ensure all transactions are recorded accurately.
General Ledger Maintenance:
Maintain the company's general ledger and assist with month-end and year-end closing procedures.
Financial Reporting:
Prepare financial statements and reports (balance sheet, profit & loss statements) for management to assist in decision-making.
Tax Compliance:
Ensure compliance with local, state, and federal tax regulations, including preparation for quarterly and annual filings.
Inventory Tracking:
Monitor inventory and supplies used for installations, ensuring that costs are accurately reflected in financial records.
Client & Vendor Communication:
Communicate with clients and vendors regarding payment issues, billing discrepancies, and invoices as needed.
Project Costing:
Assist in tracking job costs, including materials, labor, and other expenses, and help project managers ensure that jobs stay within budget.
Other Administrative Support:
Assist with other administrative duties as necessary, such as filing, organizing financial documents, and providing support to management.
Qualifications:
Proven experience as a bookkeeper or in a similar accounting role, preferably in the construction or home improvement industry. Knowledge of accounting principles and financial reporting. Proficiency with accounting software (QuickBooks, Zoho or similar software). Strong proficiency with Microsoft Excel or Google Sheets for financial tracking. Excellent organizational skills and attention to detail. Ability to handle multiple tasks and meet deadlines. Strong communication skills, both written and verbal. High level of integrity and ability to maintain confidentiality. Experience in payroll processing and tax compliance. High school diploma or equivalent required; an Associate's or Bachelor's degree in Accounting or Finance is a plus.
