JOB SUMMARY

The Auto Claims Coordinator supports the investigation, administration, coordination, and timely resolution of automobile claims involving company vehicles, independent contractors, associates, and third parties. This role serves as a central point of coordination between internal business partners, insurance carriers, third-party administrators, claimants, and other stakeholders to ensure claims are managed appropriately, reported promptly, tracked through resolution, and handled in accordance with company policies and applicable requirements. The position reports to the Director of Corporate Safety and Risk and supports efforts to reduce claim exposure, improve claim visibility, and identify trends that may help prevent future losses.

SUPERVISORY RESPONSIBILITIES

This position does not have direct supervisory responsibilities.

ESSENTIAL FUNCTIONS
RESPONSIBILITIES:

Obtain, review, document, and coordinate automobile claims and incident reports from initial notification through closure. Identify viable payer(s) and ensure claims are reported promptly and accurately to the appropriate insurance carrier, third-party administrator, or internal stakeholder. Collect and maintain supporting claim documentation, including incident reports, photographs, police reports, driver information, witness statements, repair estimates, and other relevant records. Handle all inquiries from claimants, insurance carriers, adjusters, and business partners regarding claim status, exposure and resolution. Serve as the primary resource for requests related to litigation, mediation, settlement negotiations and insurance inquiries. Maintain accurate claim files, status updates, exposure information, and key dates within applicable systems and trackers. Review open files on a regular basis, follow up on outstanding information, and help drive timely progression and resolution. Review claim activity and loss data to identify trends, recurring causes, high-risk areas, and opportunities for loss prevention or process improvement. Prepare routine claim reports, summaries, dashboards, and aging updates for Risk and Compliance leadership. Assist with property and vehicle damage assessments, repair documentation, payments, subrogation opportunities, and other claim-related activities as directed. Partner with field and corporate teams to reinforce timely incident reporting, documentation standards, and claim escalation procedures. Maintain confidentiality of sensitive claim, driver, associate, and company information.

QUALIFICATIONS

EDUCATION

AND/OR EXPERIENCE

2+ years of experience in first- and third-party auto claims including property, bodily injury and litigation. Associate's degree in business, risk management, insurance, or a related field preferred; equivalent combination of education and relevant experience will be considered. Prior experience working with commercial auto, fleet, transportation or logistics sectors is preferred.

KNOWLEDGE, SKILLS AND ABILITIES

Comprehensive knowledge of automobile claims processing, including policy coverage evaluation, liability determination and fault assessment. Versed in insurance and medical terminology, litigation management and general liability principles. Strong organizational skills with the ability to manage multiple open claims, deadlines, follow-up items, and competing priorities. Excellent written and verbal communication skills with the ability to interact professionally with internal leaders, claimants, insurance partners, attorneys, and third parties. Ability to analyze claim information, recognize trends or inconsistencies, and escalate concerns appropriately. Proficiency with Microsoft Excel, Word, Outlook, and claims management or risk information systems; ability to learn new systems quickly. Ability to exercise sound judgment, maintain confidentiality, and work effectively in a fast-paced corporate environment. Customer-service mindset with a solutions-oriented approach to resolving issues and supporting internal business partners.

PHYSICAL REQUIREMENTS

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.

Pay:

$70,000.00 - $72,000.00 per year
