This Administrative Insurance Specialist will be responsible for maintaining insurance policies and records, coordinating Certificates of Insurance (COIs), assisting with insurance renewals and audits, and ensuring required documentation is current and properly maintained. This is an exciting role for someone who enjoys keeping things organized, following up on details, making sure deadlines and insurance requirements are met, and working as an integral part of a great management team.

Maintain current records of all company insurance policies and endorsements.
Track policy expiration dates, renewals, limits, and required documentation.
Request and issue Certificates of Insurance (COIs) for customers, vendors, subcontractors, and other parties.
Review COI requests and ensure certificates accurately reflect required coverage.
Collect and maintain certificates from subcontractors, vendors, and contractors.
Follow up on missing, expired, or incomplete insurance documentation.
Assist with annual workers' compensation, general liability, auto, and other insurance audits.
Gather payroll, sales, subcontractor, vehicle, driver, and other documentation required for audits.
Maintain organized records to support accurate audit reporting.
Track audit deadlines and outstanding requests.
Communicate with insurance representatives to resolve questions or discrepancies.
Maintain equipment and fleet spreadsheets that ensure insured, registered and reported properly across multiple entities
Prepare reports and correspondence as needed.
Assist management with general administrative duties.
Handle confidential company, employee, customer, and insurance information appropriately. Qualifications
Previous administrative, insurance, construction, and/or trucking experience preferred.
Familiarity with commercial insurance policies and insurance audits is a plus.
Strong attention to detail and organizational skills.
Takes ownership of tasks with excellent follow-up and time-management abilities.
Comfortable communicating with insurance agents, customers, vendors, and employees.
Proficient with Microsoft Office, particularly Word, Excel and Outlook.
Ability to maintain accurate and confidential records.
Can manage multiple priorities in a busy construction and trucking environment.
Takes ownership of tasks and follows them through to completion. What We Offer
