Reports To:

Senior Financial Representatives / Agents Job Summary The Operations & Processing Specialist provides administrative, workflow, and case-management support across disability, life insurance, investment processing, and student accident business lines. This role manages end-to-end application workflows, coordinates underwriting requirements, processes financial transactions, assists with claim inquiries, and maintains accurate client records across internal databases. Key Responsibilities & Essential Functions 1.

Life & Disability Insurance Processing Application & Workflow Management:

Submit e-applications and paper forms, maintain real-time status updates on pending files, and conduct weekly follow-ups with clients and carriers.

Underwriting Coordination:

Serve as the main contact for underwriting questions, collect required client information, handle secure transmissions, and track medical requirements.

Policy Issuance & Placement:

Compare approved policy terms against quotes, capture details such as exclusions, collect signatures, and execute policy placements.

Policy In-Force Setup:

Download policy contracts, split documents, archive files in the electronic repository, and update master tracking logs for team handoff.

Specialized Applications & Claims:

Process rider exercises, overhead expense plans, and guaranteed issue applications. Gather initial details for life insurance death claims, assist beneficiaries with claim paperwork, and track payments. 2.

Investment & Retirement Account Processing Account Servicing:

Handle routine client servicing calls, set up online portal access, and process account maintenance requests.

Money Movement:

Execute standard and specialized account withdrawals, calculate penalty-free distribution limits, and set up recurring bank transfers.

Check Processing:

Verify incoming physical checks, draft formal letters of instruction for representative signature, create file copies, and manage overnight submittals.

Rollovers & Mandatory Distributions:

Assemble and submit complete rollover application packets. Calculate annual required minimum distributions for traditional and inherited retirement accounts using year-end balances and life-expectancy tables. 3.

Student Accident Insurance Administration Claim & Parent Support:

Answer parent and district calls regarding claims, clarify coverage rules, gather accident details, and coordinate with claims examiners.

Renewals & Certificates:

Prepare annual renewal rate sheets, generate renewal letters and insurance certificates, and distribute district application packets.

Invoicing & Policy Delivery:

Input policy details into agency software to generate invoices, send billing packets to school districts, submit bound applications, and distribute annual policy documents.

Loss Runs:

Download, format, and update annual loss run reports to maintain historical district logs.

Required Qualifications & Experience Professional Background:

2+ years of administrative or processing experience in an insurance, wealth management, or employee benefits office.

Technical Skills:

Familiarity with carrier web portals, agency management software, e-signature tools, PDF editing tools, and standard office software (Excel, Word, Google Sheets).

Communication:

Strong verbal and written communication skills with an empathetic approach to sensitive situations (such as parent claim calls or death claim notifications).

Key Performance Competencies Detail Orientation:

High precision when handling financial data, reviewing contracts, and completing multi-step applications.

Proactive Follow-Up:

Self-driven management of pending files and active follow-up with internal team members and external vendors.

Discretion:
