The Role The Compliance & Administrative Coordinator keeps our communities looking and feeling the way residents expect. You'll drive your assigned communities on a regular schedule, currently Angeline and Mirada, to spot and document possible violations of community guidelines and architectural standards. You'll log what you find in Kai's platforms, and your Community Manager will review and process each violation before it goes out to the homeowner. You'll also know the ARC/ARB process well enough to recognize unapproved modifications and help keep architectural records accurate. When you're not in the field, you'll provide administrative support to our Community Managers, helping with correspondence, records, ARC/ARB applications, meeting preparation, and the day-to-day tasks that keep communities running smoothly. This role fits someone who is detail-oriented, consistent, and comfortable splitting the day between the road and administrative work. What You'll Do Community Inspections Drive assigned communities on a set schedule to observe and identify possible violations of governing documents, rules, and community guidelines. Take clear, date-stamped photos and notes for each observation, including address, violation type, and location on the property. Conduct follow-up drives to confirm whether previously noted violations have been corrected by the cure date. Apply guidelines fairly and consistently across every home and community. Violation Documentation & Processing Support Enter violations, photos, and supporting notes into Kai's company platforms accurately and on time. Prepare violations for Community Manager review. The Community Manager reviews, approves, and processes all violations before notices are sent to homeowners. Maintain organized, up-to-date violation records and inspection history for each community. Provide inspection summaries and reports to the Community Manager as requested. ARC/ARB Support Understand each community's Architectural Review Committee/Board (ARC/ARB) process and design standards. Identify exterior modifications that may not have ARC/ARB approval and flag them for the Community Manager. Verify during inspections that approved projects were completed as submitted, when requested. Guidelines & Communication Stay current on each community's governing documents, rules, and architectural guidelines using Kai's platforms and resources. Share observations about recurring issues or unclear guidelines with the Community Manager so they can be addressed with the board. Represent Kai courteously and professionally when residents approach you in the field, referring questions about specific violations to the Community Manager. Report safety concerns, maintenance issues, or common-area damage observed during drives. Administrative Support to Community Managers Provide general administrative support to Community Managers as assigned, including data entry, filing, and maintaining community records in Kai's platforms. Help answer resident calls and emails, routing questions to the right Community Manager in line with Kai's 24 Hour Response Guarantee. Receive, log, and track ARC/ARB applications, and follow up on missing documents or pending decisions. Assist with board meeting preparation, including agendas, board packets, notices, and scheduling. Coordinate vendor appointments, track work orders, and follow up on open items for Community Managers. Prepare correspondence, reports, and other documents as requested.
What You'll Bring Required:
Valid Florida driver's license and clean driving record, reliable transportation, and current auto insurance for daily use of a personal vehicle for job duties.
Required:
Familiarity with the ARC/ARB process and HOA/CDD community guidelines.
Required:
Must pass a background check and drug screen.
Preferred:
Active Florida CAM license (F.S. 468, Part VIII). 1+ year of experience in community association management, compliance, inspections, or a related field. Strong attention to detail and the ability to document observations clearly and objectively. Comfort using web-based platforms, mobile apps, and a smartphone or tablet for photos and data entry. Administrative or office experience, with working knowledge of Microsoft 365 (Outlook, Word, Excel, Teams). Ability to juggle requests from multiple Community Managers and prioritize deadlines. Good organization and time management, with the ability to work independently on a set route. Professional, calm communication with residents and team members. Working Conditions & Physical Requirements Time is split between driving assigned communities and office or computer-based administrative work. Regular work outdoors and in a vehicle in Florida weather, including heat, sun, and rain. Ability to sit for extended periods while driving, and to walk, stand, and exit a vehicle frequently to photograph and document conditions. Use of a personal vehicle for job duties. A mileage allowance may be provided in accordance with company policy. Ability to occasionally lift and carry materials (up to 25 lbs). What We Offer Health, dental, and vision insurance.
