JOB SUMMARY
The Assistant Director of Accounting Services supports the Director of Accounting Services in the administration of the College's accounting and payroll functions, ensuring accurate financial reporting, regulatory compliance, and effective internal controls. This position oversees the work of the Payroll/General Accounting Specialist, manages accounting transactions and reconciliations, supports audits and financial reporting, and assists with process improvements and special projects that support the College's financial operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Supervise the payroll and general accounting specialist, ensuring accurate and timely completion of assigned responsibilities, compliance with policies and procedures, and ongoing staff development.
  • Review, approve, and process accounting transactions, including accounts payable, general ledger activity, payroll entries, bank transactions, donations, receipts, and credit card/ACH activity.
  • Prepare journal entries, account reconciliations, and general ledger analyses; identify discrepancies and make necessary adjustments.
  • Monitor outstanding checks, fixed asset records, revenue cash flow, and donor account reconciliations.
  • Review payroll-related transactions, ICUBA billings, payroll tax accounts, and required payroll reporting; serve as backup payroll processor and approver.
  • Verify annual 1099 and 1096 reporting and ensure compliance with applicable accounting, tax, and regulatory requirements.
  • Assist with month-end, quarter-end, and year-end close processes, audits, Form 990 preparation, and other financial reporting requirements.
  • Partner with the Director to support financial analysis, strategic decision-making, policy development, process improvements, and special accounting projects.
  • Serve as backup approver for financial transactions and maintain documentation standards to support audit and compliance requirements.
  • Assist in supervising day-to-day Accounting Services operations and provide leadership to staff in the Director's absence.
  • Support the College's paperless environment by maintaining electronic records, workflows, and approvals in accordance with College policies.
  • Attend departmental, administrative, and professional development meetings and training programs.
  • Perform other duties as assigned.
REQUIRED QUALIFICATIONS
Education:
Bachelor's degree in Accounting, Finance, Business Administration, or a related field; equivalent combination of education and experience may be considered.
Experience:
2+ years of Progressive accounting experience, including supervisory or lead-level responsibilities.
PREFERRED QUALIFICATIONS
  • Experience working in a higher education environment.
  • Experience using Jenzabar and Paycor systems
KNOWLEDGE, SKILLS AND ABILITIES
  • Knowledge of GAAP, financial reporting, account reconciliations, internal controls, payroll accounting, audits, and applicable tax requirements.
  • Proficiency in accounting software, ERP systems, payroll systems, Microsoft Office applications (particularly Excel), and financial reporting tools.
  • Strong analytical, critical-thinking, problem-solving, and decision-making skills.
  • Excellent written and verbal communication, interpersonal, conflict-resolution, and customer service skills.
  • Strong organizational and project management skills with the ability to manage multiple priorities, meet deadlines, and adapt to changing priorities.
  • Demonstrated attention to detail, accuracy, and commitment to quality standards.
  • Ability to analyze and interpret financial data, prepare reports, and provide actionable recommendations.
  • Ability to interpret and apply accounting standards, regulations, policies, and procedures.
  • Ability to identify and implement process improvements and operational efficiencies.
  • Effective leadership, coaching, staff development, and collaboration skills, with the ability to work effectively with diverse stakeholders and populations.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive financial and employee information.
  • Ability to lead special projects, audits, and continuous improvement initiatives.
