Job Description

Posting Details Interviews are anticipated to be conducted within one (1) week of closing date. Why does the job exist? This position serves as an internal control for District One's accounts payable, accounts receivable, inventory management, and Wright Express programs. It supports the Accounting Department by auditing, processing, and reconciling transactions to ensure compliance with accepted accounting principles and standards. Additionally, the position oversees District One's bulk fuel, stockpiles, and per diem vouchers. The role requires daily coordination with District One crews, sections, and vendors to obtain required documentation, resolve discrepancies, and complete all aspects of the payment audit process. How does it get done? Prepare, review, and process all telecommunications and trash invoices and billing for the District, including setting up and canceling accounts, researching utility accounts, and resolving discrepancies. Audit and process payment packets in accordance with procurement policies, departmental procedures, MAPS, the New Mexico Procurement Code, and generally accepted accounting principles, ensuring timely and accurate processing. Oversee the District's bulk fuel management and reporting program, including recommending procedures to management and submitting weekly reports. Reconcile bulk fuel records and audit and process bulk fuel and stores inventory receivers. Manage accounts receivable for incoming checks requiring deposit, ensuring compliance with Taxation and Revenue Department requirements. Manage the District's Stockpile Program, including weekly reconciliations and resolution of discrepancies. Manage WEX programs, including issuing, replacing, transferring, and terminating cards; adding and removing employees; issuing pins; reconciling monthly statements; and resolving discrepancies. Provide support and perform additional duties in the supervisor's absence to ensure the District and Department's operational needs are met. Who are the customers? NM Department of Transportation District One Staff Ideal Candidate NM Department of Transportation District One Staff Minimum Qualification High School diploma or Equivalency and one (1) year of experience in bill collection, bookkeeping, office administration, auditing, accounting, and/or finance. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling one (1) year may substitute for the required experience. Employment Requirements Must possess and maintain a valid Driver's License. Business reference check and Driver's License verification are also required and employment is conditional pending results. Working Conditions Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage.
