$85,000 - $95,000/year, depending on experience + Benefits About the Role Polyvance is an established, growing manufacturing and distribution company with approximately $7M in annual revenue and an 18-person team. As our company prepares for its next chapter of growth, we are seeking an experienced, versatile Controller / Accounting Manager to oversee our financial operations. This role combines hands-on day-to-day accounting with high-impact systems modernization. Our new hire will play a central leadership role in upgrading our technology stack—spearheading the research, selection, and implementation of: A modern cloud-based ERP (such as Acumatica, NetSuite, Odoo, or similar) to transition from our current Sage 100 system. A dedicated third-party payroll provider (such as QuickBooks Payroll, ADP, Paychex, or Gusto) to streamline and automate our bi-weekly payroll operations. This is an ideal position for an autonomous, detail-oriented accounting professional who enjoys rolling up their sleeves in a close-knit business environment while directly shaping our operating systems for the future.
Key Responsibilities General Ledger & Financial Reporting:
Lead month-end and year-end close processes; prepare adjusting journal entries, balance sheet reconciliations, and deliver accurate financial reports to executive leadership.
ERP Modernization & Implementation:
Lead the evaluation, selection, and rollout of a modern cloud ERP platform (e.g., Acumatica, NetSuite, Odoo). Act as internal project lead for chart-of-accounts mapping, historical data migration, workflow configuration, and staff training from our legacy Sage 100 platform.
Payroll Modernization & Administration:
Research, evaluate, and select an outsourced payroll service provider (e.g., ADP, Paychex, QuickBooks Payroll, Gusto). Manage recurring payroll operations by compiling employee hours, PTO, overtime, and bonuses, entering data accurately into the chosen payroll platform, and reviewing final processing reports and general ledger entries.
Daily & Periodic Operations:
Oversee or execute core accounting workflows, including Accounts Payable (A/P), Accounts Receivable (A/R), invoicing, and cash collections.
Inventory & Cost Accounting:
Collaborate with plant and warehouse teams to oversee annual physical inventory counts, reconcile variances, track raw materials/finished goods, and maintain accurate cost of goods sold (COGS) valuations.
Cash Management:
Monitor daily cash balances, manage bank reconciliations, and assist with short-term cash flow projections.
Compliance & Year-End Support:
Ensure sales and use tax compliance, prepare 1099s, and coordinate with outside CPA partners for annual tax filings and financial reviews.
Qualifications Education:
Bachelor's degree in Accounting or Finance (required).
Experience:
4+ years of progressive accounting experience, ideally in manufacturing, distribution, or inventory-heavy environments.
Systems & Software:
Hands-on experience with Sage 100 (or similar mid-market legacy ERPs). Working knowledge of modern cloud ERP systems (e.g., Acumatica, NetSuite, Odoo, Business Central) and outsourced payroll platforms (e.g., ADP, Paychex, Gusto). Prior involvement in an ERP implementation, system migration, or software onboarding process is highly preferred.
Spreadsheet Proficiency:
Advanced Excel / Google Sheets skills (pivot tables, lookup formulas, data validation).
Work Style:
Practical, self-directed, and hands-on—comfortable executing operational day-to-day entries while managing high-level system upgrades in a lean, 18-person company.
Communication:
Clear verbal and written communication skills to collaborate smoothly with shop-floor employees, management, software vendors, and external accountants.
