This is a hands-on leadership position working directly with company ownership and serving as a key connection point between accounting, operations, employees, vendors, contractors, and management. The ideal candidate is someone who can manage multiple priorities, identify problems before they become larger issues, improve processes, and take ownership of getting things done. This position requires strong accounting knowledge, excellent organization, attention to detail, and the ability to communicate effectively across all areas of the company. Key Responsibilities Accounting & Financial Operations Oversee daily accounts payable and accounts receivable activities Review vendor invoices for accuracy, proper coding, job/class assignments, and supporting documentation Manage vendor payment schedules and communicate with vendors regarding invoices and payment timelines Monitor outstanding receivables and assist with weekly A/R reviews Review and maintain accurate accounting records in QuickBooks Online Coordinate payment processing, check tracking, and related accounting documentation Assist ownership and management with financial reporting and accounting questions Review transactions and identify discrepancies or items requiring follow-up Maintain accurate records across multiple accounting and operational systems Payroll, Benefits & Employee Administration Coordinate payroll-related accounting and payment processes Reconcile payroll-related accounts, taxes, and benefit payments Manage and reconcile employee benefit payments and company/employee-paid portions Coordinate 401(k), health, dental, vision, and other benefit-related accounting requirements Maintain employee records and coordinate employee status and system updates Work with management and employees to resolve payroll and benefit questions Contractor & Vendor Administration Manage contractor documentation, including Certificates of Insurance and workers' compensation documentation Review and coordinate contractor pay applications Monitor certified payroll, lien waivers, and other required contractor documentation Communicate directly with contractors and vendors to resolve payment, documentation, and accounting questions Ensure required documentation is complete and maintained appropriately Operations & Process Management Serve as a key liaison between accounting, operations, management, vendors, and employees Identify opportunities to improve accounting and administrative processes Research, evaluate, and assist with implementation of new software and technology Coordinate system setup, permissions, workflows, and employee training Develop and maintain standard operating procedures (SOPs) and internal processes Train and support employees on accounting and operational systems Help establish consistent processes and accountability across departments Manage competing priorities and deadlines in a fast-paced construction environment Assist ownership with special projects and other operational needs as they arise Reporting & Management Support Prepare recurring accounting and operational reports for management review Assist with weekly management meetings and financial reviews Monitor outstanding invoices, payments, and other items requiring management attention Provide ownership with accurate and timely information to support business decisions Follow up on outstanding issues and ensure items are brought to completion Qualifications & Skills Previous experience in accounting, office management, operations, or a combination of these areas Construction, landscaping, irrigation, or related industry experience preferred Strong working knowledge of accounts payable and accounts receivable Experience with payroll and employee benefits administration Experience managing vendor and contractor relationships Strong organizational and time-management skills Excellent attention to detail and follow-through Strong written and verbal communication skills Ability to work independently while collaborating with ownership and management Comfortable managing confidential financial and employee information Strong problem-solving skills and ability to prioritize competing deadlines Proficiency with QuickBooks Online, Microsoft Excel, and Microsoft Outlook Ability to learn and manage multiple software systems Experience implementing or improving accounting/operational processes is a plus What Success Looks Like The successful candidate will become a trusted resource for ownership and management by keeping accounting and operational processes organized, accurate, and moving forward.
