This role plays a critical part in ensuring accurate financial operations, compliance, and support for staff, providers, and leadership. Some responsibilities are shared with the office manager. Key Responsibilities Human Resources & Payroll
  • Collaborate with OM on some Process payroll and monitor overtime Set up and maintain employee Medical, Dental, and Vision insurance plans Administer Simple IRA program Review and adjust employee accounts Manage Workers' Compensation claims and staff injury documentation Assist with annual Workers' Compensation audit Insurance Administration Review, renew, and maintain the following policies: Practice and veterinary insurance Workers' Compensation insurance Facility, flood, and windstorm insurance Accounting & Financial Management Reconcile monthly bank and credit card statements Monitor and manage bank accounts and credit cards Pay vendor bills and manage accounts payable Manage Accounts Receivable (AR) and collections File quarterly sales taxes Run monthly statements, AR reports, and period totals (monthly, quarterly, and year-end) Monitor petty cash Prepare and process bank deposits Adjust clinic accounts as needed Collaborate with CPA for annual tax filings and year-end reporting Inventory Management•Collaborate with OM Oversee staff in review and adjust of annual price increases Oversee and coordinate end-off-year physical inventory counts Technology & Equipment•Collaborate with OM Research equipment replacements or repairs Request and compare vendor quotes for technology and equipment needs Facilities & Equipment Management•Collaborate with OM Renew building insurance annually Any large facility repair or improvement projects Research pricing for repairs and replacements Complete and submit city permits when required Documentation & Reporting Prepare and maintain payroll and banking documentation Compile financial and operational documents for bi-annual meetings End of Year reporting and finances Qualifications Proven experience in financial administration, accounting, or office management Strong knowledge of payroll, benefits administration, and basic accounting principles Experience working with insurance providers and compliance requirements High level of accuracy, organization, and attention to detail Ability to manage multiple priorities and deadlines Proficiency in accounting software and Microsoft Office (or similar platforms) Experience in a healthcare or veterinary environment preferred, but not required Why Join Us Stable, well-established practice Collaborative and supportive work environment Opportunity to play a key role in practice operations and growth
