Job Description

Job Summary We are seeking a detail-oriented Assistant Financial Specialist to join our non-profit agency. Working with the Child and Adult Care Food Program,state grants, and federal funding, this position involves assisting the Financial Specialist with QuickBooks software, Excel worksheets, and bank direct deposits through ACH. Must be able to effectively communicate, both written and verbally, with contracted accountants and agency clients, which include child care centers and family day care homes. Must be accurate and detailed in recording information and data and filing. Responsibilities Maintain data base for both clients and staff accurately and up-to-date. Accurately record all financial transactions in the accounting systems, especially QuickBooks and Excel. Collect and review for correctness staff time sheets and time distribution sheets and then forward for proper signature and file correctly for future reference. Work with contracted accountant to ensure that monthly pay checks for salaried and part-time employees are correct. Enter payroll in QuickBooks for individual pay stubs and distribute to employees. File and keep up to date all reports from the retirement accounts of employees. Assist in processing reimbursement food program claims for client payments. Transfer information from state website into Excel reports and into QuickBooks. Maintain up-to-date, accurate customer file of Direct Deposit (ACH) forms and bank communication and enter ACH information into the Bank template for client payments. Assist in preparing Excel reports and summaries for budget planning and state and federal audits. Assist in accurately maintaining monthly expense receipts and invoices in Excel workbooks and file receipts and invoices with monthly bank statements in notebooks for audit purposes. Skills Strong understanding of Excel and Quickbooks. Understanding of accounting terms helpful. Excellent math skills. Experience in customer relationship skills helpful. Diploma or Associate Degree is Accounting or Business and/or previous experience as Bookkeeper or Accounting Assistant helpful.
