Job Description

Job Description Habitat for Humanity Buffalo is seeking an organized and detail-oriented Finance Support Specialist to support day-to-day bookkeeping and finance office tasks. This full-time, entry-level role is a good opportunity for someone with basic accounting knowledge, strong attention to detail, and an interest in growing their skills in a mission-driven nonprofit environment. Under supervision of the Chief Financial Officer (CFO), the finance support specialist will help enter transactions, maintain records, process invoices and payments, assist with reconciliations and provide general administrative support. Responsibilities Enter transactions in QuickBooks timely and accurately, including invoices, payments, deposits and approved journal entries. Assist with accounts payable and accounts receivable, including processing invoices, preparing payments, recording deposits and maintaining supporting documentation. Maintain organized vendor, customer, payment and financial records. Help prepare basic reports and information from QuickBooks for review by the CFO and leadership team. Assist with bank and credit card reconciliations, month-end close tasks and maintain documentation needed by outside auditors and other stakeholders. Support preparation of materials for audits, tax filings, budget review, grant reporting and Finance Committee meetings as assigned. Communicate with staff, vendors, volunteers and outside partners to help gather information, resolve basic questions and support timely financial processing. Provide general office support, including filing, data entry and other administrative tasks. Follow established finance procedures and help keep records accurate, complete and confidential. Participate in meetings, trainings and events as needed. Engage with Habitat Buffalo's programs and mission. Qualifications High school diploma or equivalent required; bachelor's degree, associate's degree, or technical training in accounting, bookkeeping, business administration or a related field strongly preferred. Some bookkeeping, accounting, finance, office, data entry or administrative experience preferred; internships, coursework, volunteer experience or related training will be considered. Basic understanding of accounting concepts, deposits, accounts payable/receivable and reconciliations. Comfort using Microsoft Office, especially Excel; experience with QuickBooks or QuickBooks Online is preferred. Strong attention to detail, accuracy, organization, follow-through and willingness to learn. Good verbal and written communication skills and the ability to work collaboratively and respectfully with staff, volunteers, vendors and community members. Dependable, self-motivated, able to ask questions, follow instructions, meet deadlines and handle confidential information appropriately.
